20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

Client is seeking a dependable and detail-oriented Virtual Assistant to support dispatch administration operations. This role is responsible for managing Proof of Delivery submissions, invoice follow-up, spreadsheet tracking, and professional communication with brokers and shippers. The ideal candidate is highly organized, follows processes accurately, and maintains consistent documentation standards.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Contractors will be required to provide services that align with the following client tasks:

  • Review Proof of Delivery documents to ensure readability and completeness
  • Save and organize Proof of Delivery documents in OneDrive using the required naming conventions
  • Locate and send Proof of Delivery documents to the correct broker or shipper
  • Archive sent emails properly in Outlook for future reference
  • Maintain and update POD tracking spreadsheets accurately
  • Follow up on unpaid invoices through email and phone communication
  • Document all invoice follow-up activity in company spreadsheets
  • Locate and record QuickBooks invoice numbers using company records
  • Request and document payment reference details when payments are disputed or pending
  • Track assigned tasks and update status notes consistently
  • Escalate missing PODs, disputes, deductions, or payment issues to management immediately
  • Maintain professional communication with brokers, shippers, and internal staff
  • Ensure all written communication is proofread before sending


Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Strong attention to detail and organizational skills
  • Excellent written and verbal English communication skills
  • Comfortable handling administrative and repetitive process-driven tasks
  • Ability to follow written instructions and documentation standards consistently
  • Basic experience with spreadsheets and email management
  • Ability to work independently and meet deadlines
  • Professional attitude with strong follow-up skills
  • Prior experience in logistics, dispatch support, invoicing, or administrative support is a plus but not required

  • Contracted Hours per Week: 40 Hours
  • Scheduled Working Days: Monday through Friday
  • Daily Working Time: 8AM-5PM Friday 8AM-4PM EST (Scheduled unpaid breaks and lunch)

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
