Role Overview:

Role Overview:
The PMO Coordinator plays a central role in driving structured, on-time delivery of monthly development cycles. Acting as the operational backbone of the Project Management Office, this individual oversees the end-to-end delivery of development tasks within each sprint cycle — ensuring sprint ceremonies are executed effectively, ticket requirements are clearly defined and traceable, and the testing lifecycle is well-coordinated across cross-functional teams. The role demands a detail-oriented professional who thrives in Agile environments, maintains a continuous delivery mindset, and is passionate about quality, governance, and seamless collaboration across recurring development cycles.
Key Responsibilities
Monthly Sprint Delivery & Agile Coordination
- Plan, coordinate, and facilitate all sprint ceremonies across each monthly development cycle, including sprint planning, daily stand-ups, sprint reviews, and retrospectives.
- Track sprint velocity, capacity, and delivery commitments cycle-over-cycle; proactively flag blockers or deviations from the monthly delivery plan.
- Maintain and groom the development backlog in collaboration with Product Owners and Tech Leads, ensuring it is prioritised and ready ahead of each monthly cycle.
- Ensure sprint goals are clearly communicated, aligned with monthly release targets, and consistently met within defined timelines.
- Monitor and report on sprint burndown charts and cycle health metrics to senior stakeholders at the close of each monthly cycle.
Ticket Management & Requirements Traceability
- Collect, review and refine tickets submitted by departments ahead of each monthly cycle, ensuring all items are complete, well-structured, and ready for sprint commitment.
- Ensure every ticket contains well-defined acceptance criteria, business context, and technical detail prior to sprint commitment.
- Maintain a clear linkage between business requirements, tickets, and deliverables — ensuring full traceability across the monthly development lifecycle.
- Collaborate with Business Analysts, developers, and QA teams to validate that requirements are complete, unambiguous, and testable each cycle.
- Conduct regular ticket hygiene reviews to identify outdated, duplicate, or insufficiently detailed items before cycle kick-off.
Testing Process Support & Coordination
- Coordinate the end-to-end testing lifecycle within each monthly cycle, covering UAT (User Acceptance Testing).
- Track and manage defects/bugs from discovery to resolution within the cycle; escalate critical blockers with urgency and clarity.
- Liaise between development, QA, and business stakeholders to schedule recurring monthly testing windows and ensure consistent resource availability.
- Produce testing status reports and sign-off documentation ahead of each monthly release and deployment.
Requirements Completion & Quality Assurance
- Continuously assess and validate that development deliverables each cycle meet original business requirements and agreed acceptance criteria.
- Conduct structured requirement walk-throughs and pre-cycle readiness checks with delivery teams before each sprint kicks off.
- Maintain a requirements traceability matrix (RTM) that is updated at the close of every monthly development cycle.
- Identify and communicate requirement gaps, ambiguities, or scope changes to relevant stakeholders ahead of cycle commitment.
- Support change management processes by documenting and assessing the impact of mid-cycle requirement changes on scope and monthly delivery timelines.
Reporting, Documentation & Governance
- Produce monthly delivery status reports, cycle dashboards, and release summaries for PMO leadership and business stakeholders at the close of each development cycle.
- Maintain accurate and up-to-date development documentation including RAID logs (Risks, Assumptions, Issues, Dependencies) refreshed each cycle.
- Ensure all development activities adhere to the organisation's PMO governance framework, policies, and continuous delivery standards.
- Facilitate post-cycle retrospectives; document lessons learned and track improvement actions carried forward into the next monthly cycle.
- Prepare and circulate meeting minutes, decision logs, and action trackers after key delivery and planning meetings.
Qualifications & Experience
Essential
- Bachelor's degree in Computer Science, Information Technology, Business, or a related field.
- 2–5 years of experience in a PMO, development coordination, or delivery management role within a continuous delivery or Agile development environment.
- Proven hands-on experience working within Agile/Scrum delivery frameworks.
- Proficiency with project and issue tracking tools such as Jira, MS Project, or equivalent platforms.
- Strong understanding of the software development lifecycle (SDLC) and QA/testing processes.
- Demonstrated ability to write clear and structured requirements, user stories, and acceptance criteria.
Preferred
- CAPM, or Agile/Scrum certification (CSM, PSM) is a strong advantage.
- Exposure to high-volume, recurring development environments in banking, fintech, or technology services sectors.
- Experience working with distributed or offshore delivery teams.
