Position Summary:

The Media Production Coordinator provides organizational and administrative support for production projects from initial planning through completion. This position serves in a support capacity to facilitate the work of department leadership and department workflows. Responsibilities for this position include maintaining production schedules and project timelines, coordinating crew and talent logistics, organizing travel and other production details, tracking action items and deliverables, assisting with on-set production coordination and post-production support, and facilitating communication between departments and production personnel. It is crucial that this position supports the mission and values of It Is Written by exemplifying the values and beliefs of the Seventh-day Adventist Church in all interactions.

Essential Position Functions:

Pre-Production Planning and Development

  • Oversee production schedules, calendars, project timelines, and deliverables for studio productions, field shoots, and live events.
  • Participate in pre-production meetings to gather project requirements, define workflow needs, document action items, and maintain active project records.
  • Work closely with program producers to develop production plans, logistical requirements, timelines, and operational readiness strategies from concept through completion before production.
  • Monitor project milestones and maintain visibility of production readiness across all active projects with regular updates to program producers and department leadership.
  • As needed, contribute research, creative input, and program development ideas.
  • Prepare, organize, and maintain production documentation, including contracts, permissions, licensing agreements, release forms, copyright clearances, budgets, and other records.
  • Maintain internal department website assets, links, and forms.

Scheduling and Production Logistics

  • Prepare and distribute production schedules, call sheets, crew communications, rundowns, and operational updates.
  • Coordinate production scheduling for talent, crew members, volunteers, contractors, production locations, lodging, transportation, makeup, and other support.
  • Track project action items and communicate progress updates to ensure production deadlines and deliverables remain on schedule.
  • During and leading up to production, manage the communication flow among program producers, talent, and crew to maintain schedule continuity and efficient workflow execution.
  • Coordinate talent movement, crew timing, department readiness, and operational adjustments during active productions.
  • Perform technical and production support functions, including but not limited to teleprompter operation, floor directing, camera operation, talent preparation coordination, makeup, show preparation, and other related production tasks.
  • Identify potential workflow disruptions and implement timely solutions to maintain production efficiency and/or broadcast readiness.

Post-Production

  • Edit programs and other media content, as needed.
  • Assist program producers to ensure content meets department and broadcast delivery standards.
  • Coordinate with the post-production team on media asset organization, file transfers, project archiving, and production documentation.
  • Assist with the preparation and delivery of content on various broadcast, internet, and social media platforms.

Additional Duties

  • Participate in creative planning sessions, production development meetings, and content brainstorming initiatives.
  • Collaborate with other team members to maintain department documents, instruction manuals, process improvements, and inter-departmental reminders.
  • Work collaboratively with other departments to improve workflow efficiency and strengthen production effectiveness.
  • Be available to meet in person for Media Production team meetings, project meetings, and in collaboration with team members from other departments.
  • Prepare agendas and minutes for department-wide meetings, department leadership meetings, and other assigned committees and or meetings.
  • Fulfill other related responsibilities and duties as assigned.


Position Specifications:

  • Qualifications, Scope, and Complexity of Duties:
  • Education:
    • A high school diploma or equivalent is required.
    • A bachelor’s degree in media production, or a related field, is preferred.
  •  Experience:
    • Three to five (3-5) years of experience as a media producer, broadcast administrator, or production administrative support, either with an agency or organization
  • Membership and Mission:
    • Embrace the mission and values of It Is Written and be a member in good standing of the Seventh-day Adventist Church.


    • Skills, scope, and complexity of duties:
      • Proficient in the use of computers and various office suite computer software, such as Google Suite, Microsoft Office Suite, or Apple iWork Suite.
      • Proficient in or has a willingness to learn major video editing software, such as DaVinci Resolve, Apple Final Cut Pro, and Adobe Creative Cloud Suite.
      • Demonstrates comprehensive knowledge of media production, including pre-production planning, scheduling, and logistics, on-set coordination, and post-production workflows
      • Needs to be a self-starter with good judgment, capable of managing multiple complex projects simultaneously, making timely decisions, assuming responsibility as needed, and consistently meeting tight deadlines in a fast-paced production environment.
      • Shows high flexibility and adaptability to handle urgent projects, shifting priorities, and unexpected production challenges.
      • Possesses superior time-management, multitasking, and organizational skills, with exceptional attention to detail.
      • Able to work independently and with minimal supervision while maintaining strong alignment with team and organizational goals.
      • Demonstrates excellent interpersonal and communication skills with team members and external partners.
      • Be willing to participate in training when offered.
      • Able to exhibit Christ-like behavior in daily tasks, collaborative projects, and under stress.

      • Physical requirements: requires standing, walking, time at a desk, and reaching.
    • Specific Requirements:
      • Hourly, 38 regular hours per week.
      • Will require occasional variable hours and weekend work.
      • No special clothing or safety gear is required.
      • Business casual attire is required.
