Aethos Milan is a boutique hotel and members club in Milan’s vibrant Navigli district. With 35 individually designed rooms, a world-famous cocktail bar, a gym, and our Cima restaurant we aim to make Aethos Milan a home for travelers and our members alike. The Group & Event Intern will support the Sales & Events team in the coordination and execution of group bookings, meetings, private events, and special occasions hosted at Aethos Milan. This role offers hands-on experience in event planning, client relations, and hotel operations, contributing to the delivery of memorable guest experiences while ensuring smooth communication across departments.
- Support the coordination and administration of group bookings, meetings, private events, and social occasions from inquiry to execution.
- Assist in preparing proposals, quotations, contracts, function sheets, and other event-related documentation.
- Coordinate with operational departments, including Front Office, Food & Beverage, Housekeeping, and Kitchen, to ensure seamless event execution.
- Help manage event calendars, booking systems, and client databases, ensuring all information is accurate and up to date.
- Support site inspections and client meetings, providing a professional and welcoming experience to prospective guests.
- Assist in responding to event inquiries and follow up with clients throughout the planning process.
- Support the execution of events on-site, ensuring guest satisfaction and attention to detail throughout the event journey.
- Monitor guest feedback after events and contribute ideas for continuous improvement of the guest experience.
- Stay informed about hospitality trends, event concepts, and local market opportunities.
- Provide operational and administrative support to the Sales & Events team across various projects and daily activities, adapting to evolving business needs.
- Currently pursuing or recently completed a degree in Hospitality Management, Event Management, Tourism, Business Administration, or a related field.
- Strong interest in hospitality, events, luxury lifestyle, and guest experience.
- Excellent interpersonal and communication skills.
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
- Positive, proactive, and service-oriented attitude.
- Strong problem-solving skills and willingness to learn.
- Comfortable working both independently and collaboratively within a team.
- Good knowledge of Microsoft Office (Excel, Word, PowerPoint); knowledge of hotel PMS or event management systems is considered a plus.
- Fluent in both English and Italian (written and spoken).
- A dynamic and supportive work environment.
- Hands-on experience in luxury hospitality, event planning, and group sales.
- Exposure to cross-functional hotel operations and guest experience management.
