ABOUT THE ROLE

The Development Coordinator supports the day-to-day operations of the organization's fundraising and stewardship activities. Responsibilities include managing the donor database, coordinating fundraising events, developing and distributing donor communications, nurturing donor relationships, and assisting with grant writing and reporting to secure financial support from individuals, foundations, and corporations. The Development Coordinator also integrates donor communications, campaign execution, and high-touch engagement into a cohesive strategy that deepens relationships, enhances the donor experience, and drives revenue growth.

This role is essential to executing fundraising strategies and ensuring that no opportunity for connection, cultivation, or storytelling is missed. The ideal candidate is an action-oriented, organized, and relational go-getter who excels at both follow-through and relationship management.

 

Responsibilities

General Administrative and Operations Support

  • Assist with meeting planning and make event arrangements, including facilities locations, food/refreshments, audio visual equipment set up and materials for distribution, with high attention to detail
  • Provide administrative assistance with contracting processes
  • Share in knowledge dissemination, reporting, and communications
  • Represent the organization externally, as necessary
  • Developing administrative process workflow for file management and network works
  • Complete special projects focused on organizational development of ACLT
  • Assisting with new hire set up coordination and volunteer coordination as needed
  • Organize and maintain accurate records, files and documents
  • Assist with timely annual report and business license filings with the Secretary of State
  • Assist in keeping records of bills, permits, licensing etc.
  • Assist in project management as needed
  • Support members of the Leadership team on projects as needed
  • Attend and support ACLT community events
  • Take meeting minutes
  • Greet office visitors and serve as the primary office front desk receptionist and primary point of contact on the phone and in-person as necessary
  • Assist with tracking performance management process that measures and evaluates staff progress against goals for the organizations
  • Support the accounting team which provides the organization with access to financial information and enables strategic budgeting, as it relates to Admin & Ops
  • Work with IT team to ensure the technology infrastructure supports the growth of programs and organization overall
  • Other administrative duties and projects as assigned

Development Support

  • Provide administrative support with grant writing and corporate sponsorship as needed.
  • Provide administrative and organizational support to Chief Development Officer and other team leaders within the Development Department.
  • Schedule and/or coordinate site tours, special events, and dinners for Board members and top supporters.
  • Coordinate various department and committee meetings; prepare required materials, take minutes, and provide requested follow-up as appropriate.
  • Maintain development events calendar, internal department site updates, and order department supplies.
  • Check and sort department mail; monitor and distribute incoming gifts/memberships for batching and deposit.
  • Maintaining accurate donor information in the CRM database
  • Tracking donors giving history and identifying potential cultivation opportunities
  • Sending personalized thank you letters and donor updates
  • Managing donor stewardship activities
  • Serve as the connective tissue between events, narrative, and fundraising goals
  • Planning and coordinating fundraising events (galas, auctions, walks/runs)
  • Managing event logistics, including venue selection, catering, and volunteer recruitment
  • Creating marketing materials and promoting events
  • Supporting organizational revenue strategy and planning

Grants Support & Coordination

  • Research and track potential grant opportunities aligned with organizational priorities
  • Support the preparation of grant applications
  • Assist with preparing grant reports and documentation for funders under supervision
  • Track grant deadlines, compliance requirements, and reporting schedules to support timely submissions
  • Maintain organized grant files, records, and tracking tools

Prospecting and Outreach

  • Identifying potential new donors and building relationships with them
  • Conducting donor research to understand their giving interests
  • Creating targeted outreach campaigns in collaboration with communications team
  • Support the launch and stewardship of the donor cohort

Communication and Reporting

  • Collaborate with the communications team to align messaging
  • Draft and coordinate donor communications and campaign assets across digital and in-person channels
  • Preparing regular development reports for leadership
  • Communicating fundraising progress to staff and stakeholders
  • Manage donor report due dates, ensuring that parties responsible for providing details complete and submit to Development, Write and submit reports in donor portals,
  • Record all grants in Bloomerang and save contracts, agreements and all other documentation for Teams.
  • Support the revenue and receivables in the Annual Audit process.

Volunteer Coordination

  • Managing volunteer recruitment and engagement for events
  • Creating marketing materials to promote fundraising initiatives alongside organizational creative/marketing team
  • Assisting with website updates related to development information requiring working knowledge of Squarespace, Wix, Wordpress
  • Participating in community outreach activities to raise awareness about the organization's mission

Requirements

Minimum qualifications:

  • Minimum of 2 years prior experience coordinating and/or managing annual giving initiatives such as database management, donor communication efforts, fundraising events, and annual giving programs.
  • Bachelor's degree in a relevant field, such as non-profit management, marketing or 2+ years of experience in development or fundraising, preferably in a non-profit setting
  • Proficiency in donor database management (e.g., Bloomerang, Salesforce, Raiser's Edge, or similar CRM tools).
  • Familiarity with digital marketing tools and platforms, such as Mailchimp, Canva, or social media scheduling tools.
  • Passion for the Central Area community and commitment to ACLT's mission, values, and approach to service.
  • Strong writing, verbal, and interpersonal communication skills, including the ability to craft compelling donor communications and build positive relationships with donors, staff, volunteers, and community partners.
  • Experience with event planning and coordination, including virtual and in-person events.
  • Experience in project coordination or management, with strong organizational, multitasking, and time-management skills.
  • Proficiency with project management software, Microsoft Office, and fundraising databases.
  • Ability to manage multiple projects and priorities while working independently and collaboratively across diverse teams and organizational levels.
  • Strong attention to detail, problem-solving, and follow-through.
  • Demonstrated ability to handle donor and personal information with tact, discretion, and confidentiality.
  • Understanding of fundraising techniques, donor relationship management, and the nonprofit sector.

Desired qualifications:

  • Bachelor's degree in nonprofit management, communications, marketing, business administration, or a related field.
  • 3+ years of experience in development, fundraising, donor relations, or nonprofit operations.
  • Experience working with community-based, culturally responsive, or mission-driven organizations.
  • Experience with grant writing, corporate sponsorships, or foundation relations.
  • Experience with donor prospect research, cultivation, and stewardship.
  • Experience supporting community engagement, volunteer coordination, or fundraising campaigns.
  • The physical demands described are representative of those required to successfully perform the essential functions of the position.
  • Regularly required to sit, stand, walk, bend, reach, use a computer, and communicate in person and by telephone.
  • Ability to stand and walk for extended periods during meetings, community events, and fundraising activities.
  • Ability to lift and carry up to 25 pounds for event setup, materials, and supplies.
  • Ability to travel locally to meetings, events, and community activities as needed.
