Alfred H Knight has an exciting opportunity for a Client Services Administrator. This individual will be functionally responsible for the management of the day to day operations within the AHK Admin / Client Liaison department to ensure that efficient and high-quality service is provided to meet reporting deadlines and priorities agreed with AHK Head Office and clients. The role covers all aspects of managing job administration / co-ordination from client instruction, acknowledgement, updates, queries through the running of the job and finally to reporting archiving and maintaining of records.

The Client Services Administrator plays a vital role in client relations and making sure that our company's values and professionalism are always displayed.

REQUIRED KNOWLEDGE AND WORK EXPERIENCE 



Essential



  • Manage and plan their workload in the form of daily meetings with their respective Client Services Coordinator to ensure that tasks are completed effectively and timeously within the division. Training of trainee Client Services Administrators and provision of guidance, direction and support where necessary
  • Ensure compliance with regulations, best practice and of the organizational policies and procedures
  • Communicate challenges, repetitive issues/frustrations with Branch Manager / Client Services Coordinator / Site Operations team and collaborate with in order to find solutions to resolve job related queries to improve overall reporting efficiency
  • Strive for continuous improvement, ongoing learning and assist where needed by providing support to the trainee Client Services Administrators with the guidance of their Client Services Coordinator
  • Attend daily plan meetings with management and the operations teams so as to stay informed and aligned with the job progress ensuring better coordination towards the overall objectives
  • Ensuring that their roles and responsibilities are clearly understood thereby reducing the likelihood of errors
  • Allocating of tasks to ensure that the overall workload is evenly distributed between the Client Services team in the absence of the Client Services Coordinator
  • Ensure that their workload is assessed and managed on a daily basis and prioritized to ensure the TAT issues are addressed immediately to avoid delays
  • Promote diligent and accurate work to ensure client and colleague satisfaction
  • Keep the lines of communication open at all times between the Client Services Coordinator, Branch Manager and the Operations Teams
  • Keep the lines of communication open at all times between yourself and the clients. Clients are to be updated with respect to the job progress, delays, or deviations from best practice
  • Follow ups to be done when the site operations inspectors have not provided updates
  • Ensure and monitor that the level of professionalism is maintained when communicating to the clients, fellow colleagues, site operation team members in person, telephonically, or via email

Required Work Experience



  • 1-2 Years working experience
  • Previous industry experience, an advantage
  • Previous experience within the shipping / warehousing environment would be an advantage.
  • Must have a proven track record of Data Capturing.
  • Demonstrate a working knowledge of excel and its Intermediate formulas.
  • Demonstrate accurate numerical tasks with attention to detail.
  • Must have a high level of English; written and spoken.

  • Grade 12

  • Travel as needed within Southern Africa
