The Department of Energy, Office of Science Integrated Support Center (DOE, ISC) Fleet Manager and Property Administrators in all areas/aspects of DOE Motor Vehicle and Property Management. Provides administrative and technical support and maintains a close and highly responsive relationship to the day-to-day activities of the office. Gathers, compiles, enters, and maintains information in databases or tracking systems to assist in the effective management of data. Performs varied administrative duties requiring an understanding of the organization, programs, and procedures related to fleet and property management.

Work scope includes, but is not limited to, the following administrative support activities:

  • Input specific vehicle information into the Central Automotive Records System (CARS).
  • Update recall information (information is pulled into the vehicle record from this database).
  • Assign disposition instruction information.
  • Input data into the U.S. Government License Plate Tracking System for receipts, assignments, and changes.
  • Generate SF-97 documentation for the transfer of title ownership from the government to the individual or company purchasing equipment.
  • Input and maintain up-to-date information for all government DOE and ISC-owned vehicles.
  • Upon the sale or transfer of a vehicle, the Federal Motor Vehicle Registration System (FMVRS) must be updated to reflect the information.
  • Per 41 CFR 102-34, Federal Fleet Management System (FedFMS) is a mandated vehicle information system used for tracking all fuel and maintenance costs and mileage reports of the DOE-owned fleet.
  • Updating information in the system on a monthly or daily basis as provided by the contractors that we support.
  • Information in this system is used for required annual reporting.
  • Maintains the DOE, ISC Property Tracking System. This system tracks all property actions and allows for consistent entry of data.
  • Assists in preparing and/or logging and distributing Property Transfers.
  • Assists in preparing and distributing forms for the approval and signature of DOE, ISC Property Administrator for excess and transferred property, scans files, and emails approved forms and other property notices.
  • Maintains Property files on the online filing system.
  • Attends DOE, ISC Property Management meetings and conference calls when requested.
  • Receive specific reports for database entry and disposition.
  • Receive and log U.S. Government license plate assignments.
  • Assists in the tracking of all fleet vehicle accident or incident reports until repair is accomplished.
  • Receive and disposition recalls, initial notification, completion notices, and follow-ups with any outstanding recalls.
  • Produces and assists in the review of all site inventory reports.
  • Perform quality checks for data submitted by the local fleet managers.
  • Track all Motor Vehicle Citations that are received from the contractors.
  • Prepares and maintains files for approval and signature of DOE, ISC Fleet Manager.

  • High school diploma or GED is required.
  • Associate degree or coursework in logistics, supply chain management, business administration, or inventory control a plus.
  • Certified Supply Chain Professional (CSCP) a plus.
  • 1–3 years of experience in inventory management, warehouse operations, or logistics.
  • Familiarity with inventory management software (e.g., SAP, Oracle, or Microsoft Dynamics).
  • Inventory Management: Ability to track, receive, and distribute supplies accurately.
  • Database & Software Proficiency: Familiarity with inventory management systems (e.g., SAP, Oracle, MS Dynamics, or military-specific logistics software).
  • Recordkeeping & Documentation: Accurate maintenance of logs, shipping/receiving records, and supply reports.
  • Procurement Knowledge: Understanding purchasing processes, order tracking, and vendor management.
  • Basic Math & Calculation Skills: For counting, measuring, and managing stock levels.
  • Attention to Detail: Ensuring correct items, quantities, and documentation.
  • Time Management: Prioritizing tasks to meet deadlines and supply needs efficiently.
  • Problem-Solving: Identifying and resolving supply discrepancies or inventory shortages.
  • Planning & Forecasting: Estimating supply needs and preventing stockouts.
