As a rapidly growing company, PACE Supply is looking for dedicated and motivated individuals to join our Finish Department, as a Project Manager Assistant in our Dublin, CA Branch.
The primary purpose of this role is to provide best-in-class support to our Project Management team through proactive, timely, and detail-oriented service. This position plays a critical role in ensuring seamless coordination between internal teams and external customers by maintaining clear communication, diligent follow-up, and exceptional attention to detail. Success in this role requires a strong commitment to supporting project execution while upholding and advancing PACE Supply’s strategic anchors and customer-focused values.
Responsibilities
~1 min read- Placing sales orders and purchase orders/convert quotes to orders
- Confirm orders (delivered, billed, PO’s placed)
- Get Status updates on sales orders and purchase orders
- Build NS codes or part numbers
- Release OBS orders for picking
- Schedule/confirm deliveries with dispatch
- Write pick up slips for vendors and customers
- Follow up on missing material
- Check lead times, stock checks, and back orders
- Order office Supplies
- Vendor quote requests
- Ensure completed process for debits, credits and RGA’s
- Contact reps/vendors to acquire pricing, stock availability and product information
- Source alternative items when necessary
- Provide thorough and timely responses to all communications
- Log and help maintain new project logs
Requirements
~1 min read- Minimum high school diploma or equivalent
- Familiarity with plumbing/finish products or quoting processes is preferred
- Strong organizational skills with the ability to manage multiple tasks and deadlines in a fast-paced environment
- Excellent communication skills, both verbal and written
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Detail-oriented with a proactive, team-oriented mindset
- Ability to read and interpret basic plans/specifications is a plus

- The employee is frequently required to stand, walk, reach with hands and arms, and talk or hear.

- The employee is frequently exposed to moving mechanical parts and outside weather conditions.
- Occasionally, the employee may be exposed to high, precarious places and vibration.
- The noise level in the work environment is usually moderate.
