- Gère la communication à l'aide de certains outils : écrans plasma, Workplace, magazine, etc.
- Traite les appels, le courrier et veille à ce que les informations soient filtrées, hiérarchisées et évalue leur niveau de confidentialité.
- Coordonne diverses réunions (invitations, ordres du jour, planification en fonction de la disponibilité des participants, réservation de salles et d'équipements, organisation des déplacements, etc.
- Répond aux demandes d'informations provenant d'autres services ou de contacts externes.
- Assiste le responsable dans ses tâches administratives (correspondance, rapports, présentations PowerPoint, mise en forme de documents, traduction, etc.
- Assure le suivi et la mise à jour des dossiers, ainsi que le système de classement des documents actuels.
- Planifie et organise des événements (par exemple, réunions, activités hors site, déplacements, visites d'invités, repas, hébergement à l'hôtel, transport, diverses formations, téléconférences, vidéoconférences) pour ses responsables, ainsi que pour deux directeurs relevant de la direction générale.
- Gère les registres de congés des employés et le système SAP-HR pour les personnes relevant de son responsable.
- Vérifie et traite les factures et les notes de frais pour ses responsables et trois directeurs relevant de lui à l'échelle mondiale (Approvisionnement, FluLaval LCM/TLCM et Commercial Flu).
- Remplit les demandes d'achat dans le système Ariba pour ses responsables.
- Gère la carte Amex (P-Card) du site, effectue les achats et procède aux rapprochements dans le système Fiori.
- Gère et assure le suivi des dossiers confidentiels (par exemple, organigramme, Workday, RH, etc.).
- Fait partie de l'équipe de direction et fournit un soutien logistique.

Alphanumeric is hiring an Administrative Assistant to work on-site in Sainte-Foy, Quebec, for one of the biggest Pharmaceutical companies in the world.
Responsibilities

- →Manages communication through certain tools: plasma screens, Workplace, magazine, etc.
- →Handles calls, mail, and ensures information is filtered, prioritized, and assesses the level of confidentiality.
- →Coordinates various meetings (invites, agendas, planning based on participants' availability, booking rooms and equipment, organizing travel, etc.).
- →Responds to information requests from other departments or external contacts.
- →Supports the manager with administrative tasks (correspondence, reports, PowerPoint presentations, document formatting, translation, etc.).
- →Ensures the follow-up and maintenance of files, as well as the filing system for current records.
- →Plans and organizes events (e.g., meetings, offsite activities, travel, guest visits, meals, hotel accommodations, transport; various trainings, teleconferences, videoconferences) for their managers, as well as for two directors reporting globally.
- →Manages the employee vacation records and SAP-HR system for those reporting to their manager.
- →Checks and processes invoices and expense reports for their managers and three directors reporting globally (Procurement, FluLaval LCM/TLCM, and Commercial Flu).
- →Completes purchase requisition requests in the Ariba system for their managers.
- →Owns and manages the site's Amex card (P-Card), making purchases and completing reconciliations in the Fiori system.
- →Manages and ensures follow-up on confidential files (e.g., organizational chart, Workday, HR, etc.).
- →Is part of the Leadership Team and provides logistic support.
