The HR Specialist plays a pivotal role in driving the success of the People & Culture function by serving as a trusted partner to the Chief People Officer and a contributor to operational and process effectiveness. This position combines executive-level support, project coordination, and department cross-training assistance while managing the organization's operations governance committee and approval workflows. The ideal candidate thrives in a fast-paced environment, exercises exceptional judgment and discretion, and has a talent for keeping complex priorities organized and moving forward.
Responsibilities

- →Manage timely governance submissions and ensure required materials are complete before review.
- →Track approvals, decisions, and action items to ensure all governance outcomes are fully executed and documented.
- →Partner with stakeholders to ensure governance process requirements are clearly understood and followed.
- →Cross-train and support in other P&C functional areas as needed.
- →Coordinate departmental budgeting support, invoice management, expense reconciliation, and accounts payable processing in partnership with Finance.
- →Coordinate and organize meetings, conferences, and special events, including room setup and catering.
- →Create and maintain mail merges and standardized templates to support DocuSign routing, review, and electronic signature processes.
- →Liaise with internal and external stakeholders, including clients, vendors, and team members.
- →Work independently or within a designated team on special nonrecurring and ongoing projects as
- →Create and design spreadsheets, PowerPoint presentations, mail-merge template functions for Word and Outlook, and Adobe Pro.
- →Draft and edit letters, reports, and other documents.
- →Conduct research as requested and compile and summarize information for reports or presentations.
- →Support executive calendar management, including coordinating meetings, appointments, expenses, and travel arrangements, as requested.
- →Provide administrative support to ensure efficient department operations.
- →Work with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- →Ensure that deadlines are met and adapt to changing priorities.
- →Present a positive and professional image for the organization.

Requirements

- Demonstrated experience in an HR specialist, administrative assistant, or comparable support role.
- Excellent organizational and time management skills.

- Proficiency in Microsoft Office Suite, Adobe Pro, and other relevant software.
- Ability to prioritize tasks and work efficiently under pressure.
- Excellent written and verbal communication skills.
- Discretion and ability to handle confidential information appropriately.
- Professional demeanor and ability to interact with all levels of an organization.

Associate degree and five or more years of related experience, or bachelor’s degree and two or more years of related experience, or equivalent combination of education and experience.
