You will join a team dedicated to bringing Apollo to market at scale, tackling the complex challenges like safety, commercialization, and mass production to change the world for the better.

We are seeking a highly organized and proactive contract Recruiting Coordinator (6 month minimum) to join our Talent Acquisition team. This role is essential to our success, acting as the central point of contact for candidates, recruiters, and hiring teams to ensure a seamless, positive, and efficient interview process from start to finish. You will be responsible for orchestrating complex interview schedules, managing candidate communications, and maintaining data parity in our systems, directly contributing to our ability to attract and hire top talent.

Responsibilities

  • Interview Coordination & Logistics: Own complex interview schedules across multiple departments and time zones, including phone, video, and onsite interviews. Manage all logistical details, such as booking conference rooms, arranging travel, and processing candidate expense reimbursements.
  • Candidate Experience Management: Serve as the primary point of contact for candidates throughout the later stages of the interview process, providing clear instructions, and a welcoming presence to ensure a world-class candidate experience.
  • Systems & Data Integrity: Maintain meticulous records within our Applicant Tracking System (ATS), ensuring all candidate information, interview feedback, and job status details are accurate, up-to-date, and compliant with company standards.
  • Team & Process Support: Partner closely with recruiters and hiring managers to anticipate scheduling needs and resolve conflicts. Assist with job posting formats, process and program documentation, and other administrative tasks to support the full lifecycle of recruiting.

Requirements

  • Exceptional organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously in a fast-paced environment.
  • Strong written and verbal communication skills with a professional and empathetic demeanor.
  • Impeccable attention to detail and a commitment to accuracy.
  • Proven ability to solve problems in ambiguous situations and without all of the data
  • Experience with an Applicant Tracking System (ATS) such as Greenhouse, Lever, or Workday is highly preferred.
  • Proficiency with scheduling tools (e.g., Google Calendar, Outlook) and the Google Workspace suite.
  • A proactive, customer-centric mindset with a passion for creating positive experiences for internal and external customers
  • Discretion and experience handling confidential and sensitive information.
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
  • Vision to read printed materials and a computer screen
  • Hearing and speech to communicate
