Community Group Inc., an Associa company, is hiring a Community Support Specialist to provide administrative support to homeowners, Community Manager, and internal staff. This role will sit at the corporate office in Glen Allen.

 

Daily responsibilities:

  • Onsite role working Monday - Friday, 8am-5pm.
  • Back office, managing phones and emails.
  • Research and respond to inquiries in-person, by phone, and email.
  • Activate and issue pool passes, parking passes, and key FOBS.
  • Receive, sort, log, and distribute mail and packages.
  • Data enter and update information in the database; record and track documents and information.
  • Issues violation letters to homeowners and follow-up to ensure corrected.
  • Assist with maintenance requests and work orders; schedule and coordinate maintenance vendors and contractors for work to be done onsite.
  • Assist in preparing board packages. Coordinate and schedule monthly and annual board meetings.
  • Create and send out weekly mass communications by mail and email to homeowners notifying them of maintenance onsite, HOA guidelines, and community events.
  • Assist homeowners with monthly payments, researching accounts and delinquencies.
  • Assist homeowners in completing architectural review forms and follow-up with homeowners on the Board’s decision.
  • Assist with other projects as assigned.

 

 

 

Hourly pay rate: $17-$18.

  • 2+ years of office support, clerical support, or administrative assistant experience in a corporate or office environment. 
  • Customer service driven and team oriented.
  • Excellent communication skills (written and spoken) with knowledge of conflict resolution techniques.
  • Well versed in Microsoft Office Suite (Word, Excel, Outlook).
  • Proactive, takes initiative, attention to detail, and meet time sensitive deadlines.
