SUMMARY

Provide administrative and operational support to the company’s internal areas, ensuring the accurate creation, management, and follow-up of purchase orders in SAP OTC, as well as the coordination of donations, events, invoicing, and tender processes. The position is responsible for ensuring compliance with internal procedures, financial controls, and applicable compliance policies within the pharmaceutical industry.

RESPONSABILITIES

  • Create, modify, and follow up on purchase orders in SAP MM, verifying that vendor information, cost centers, general ledger accounts, materials, services, quantities, and values are accurate.
  • Monitor the purchase order approval workflow and take the necessary actions to resolve blocks, inconsistencies, or delays.
  • Coordinate with internal users, vendors, Finance, Procurement, and requesting departments to ensure the timely receipt of goods or services and the proper closure of purchase orders.
  • Maintain updated tracking files, reports, and supporting documentation related to purchase orders.
  • Manage donation requests by validating the required documentation, approval levels, and compliance with corporate, regulatory, and compliance policies.
  • Provide logistical and administrative support for internal and external events, including quotations, purchase orders, vendor coordination, materials, invoicing, and payment follow-up.
  • Receive, review, and process invoices, ensuring that they meet tax and administrative requirements and match the corresponding purchase order and receipt of goods or services.
  • Follow up on rejected, pending, blocked, or discrepant invoices, coordinating resolution with the relevant stakeholders.
  • Support the administrative follow-up of tender processes, including timelines, documentation, deliverables, communications, status updates, and filing of supporting records.
  • Prepare periodic reports on purchase orders, donations, invoicing, events, and tenders.
  • Ensure the organization, traceability, and confidentiality of information and documentation under the position’s responsibility.
  • Comply with corporate policies, procurement procedures, internal controls, data protection regulations, and company compliance requirements.

EDUCATION AND EXPERIENCE

  • Bachelor administration, accounting or related areas.
  • Experience with any of these tool is desirable: SAP (OTC), VIVA EVENT, ICERTIS, COUPA, PUBLICS TENDER
  • English advanced and Portuguese intermediate
  • A minimum 2-3 years of experience in pharmaceutical or healthcare
  • Experience negotiating with tenders is desirable.
  • Demonstrated effectiveness operating in complex organizational and regulatory environments
  • Excellent written, oral, and communication skills.
  • Proven ability to work with all levels of management and the general workforce
  • Strong problem solving and organization skills.
  • Demonstrated ability to collaborate effectively with others in addressing complex issues
  • Motivated, self-starter with ability to appropriately prioritize issues, allocate resources, and be capable of working alone and making sound decisions
  • Customer-oriented thinking
  • Computer competency in PowerPoint, Microsoft Word and Excel
  • Demonstrate willingness to grow and develop with the company
