We are seeking a Sales and Marketing Coordinator to join us at our US Headquarters located in Charlotte, NC. This role is required to be onsite at least 3-4 days per week.
Tasks and Responsibilities:
Oversite, scheduling, tracking, monitoring and maintaining assets allocated to sales demo inventory.
Ensures all demo systems are up to date with current hardware and software versions. Confirm returned systems post demonstration are clean, free of customer data, decontaminated, prepped and complete with all necessary supplies and for the next customer evaluation.
Management of bid proposals and support for issues related to Terms & Conditions as needed.
Generate quotes for new products and demo inventory (Fire Sale List) and ensure that demo system sales are in-stock, prepared and ready to ship for revenue recognition.
Attend and contribute to the daily Backlog meeting to represent the sales organization.
Prioritize, track, and manage multiple projects concurrently, and follow through on issues in a timely manner (team schedules, inside sales campaigns, monthly reports, personnel training matrix, etc.)
Coordinate/assist with the launch of sales campaigns and initiatives.
Pack tradeshow booths and marketing materials at the office or warehouse, including preparing packaging instructions and shipping labels, and return-shipment documentation.
Coordinate all logistics, documentation, and assets required for tradeshow preparation and on‑site event execution.
Maintain and track promotional inventory, identifying and sourcing new giveaway options that align with budget, brand strategy, and event objectives.
Coordinate pre‑event logistics with internal attendees and stakeholders to ensure smooth, timely, and well‑organized participation.
Conduct post‑event evaluations, capturing insights and performance metrics to optimize future event strategy and execution.
Support post‑event activities, including lead processing, follow‑up coordination, and performance reporting.
Lead the planning and execution of webinars, virtual events, virtual demos and field‑marketing programs that enhance brand visibility and contribute to pipeline growth.
Additional duties as assigned by the Director of Sales.
Qualifications and Training:
Proficient with MS Word, MS Excel, and MS PowerPoint.
Prior experience with Salesforce and/or HubSpot preferred
Prior experience with graphic design tools such as Adobe Photoshop, Canva, InDesign or Illustrator preferred
Ability to develop, build and maintain strong working relationships to optimize performance and interactions with customers, customer service, technical service, inside sales, field sales, and the sales management team.
Capability to rapidly and accurately develop knowledge and expertise on Biotage instrumentation, applications and customer requirements.
Experience supporting or coordinating events and exhibits, including inventory tracking, packaging, shipping, logistics, and travel coordination.
Bachelor’s degree in related field
