Position Overview
We are seeking a highly organized and detail-oriented Project Coordinator to support the Project Management Office (PMO) across a portfolio of initiatives spanning Product, Engineering, Cybersecurity, and Enterprise Applications. This role is critical to ensuring effective project execution, governance, and communication across cross-functional teams in a fast-paced, technology-driven environment.
The Project Coordinator will work closely with Project Managers, Product Owners, Engineering teams, and Cybersecurity stakeholders, Operations and Business teams to maintain project plans, track progress, manage documentation, and support delivery excellence
- Support end-to-end project coordination activities across multiple concurrent initiatives within Product, Engineering, Cyber, and Applications.
- Maintain and update project plans, schedules, RAID logs (Risks, Assumptions, Issues, Dependencies), and status reports.
- Coordinate meetings, including scheduling, agenda development, documentation of minutes, and tracking action items.
- Assist in PMO governance processes, including stage gates, reporting cadence, and compliance with delivery standards.
- Monitor project timelines and proactively identify risks or delays, escalating as needed to Project Managers or PMO leadership.
- Facilitate communication across technical and business teams to ensure alignment and transparency.
- Support resource coordination and capacity tracking across project teams.
- Prepare executive-level reporting materials, including dashboards and status updates for leadership stakeholders.
- Ensure proper documentation management and adherence to PMO tools and standards in Smartsheet (e.g., ServiceNow, Jira, MS Project, or similar platforms).
Qualifications
- 2–5 years of experience in project coordination, PMO support, or similar role within an IT or enterprise environment.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Experience supporting technical teams such as Engineering, Cybersecurity, or Enterprise Applications.
- Proficiency with project management tools (e.g., Jira, ServiceNow, MS Project, Smartsheet). Customer uses Smartsheet- this is a must
- Skills in Microsoft Office Suite, particularly Excel and PowerPoint.
- Excellent written and verbal communication skills.
