Responsibilities

  • Lead day to day coordination for service agreements, preventive maintenance visits, and corrective work across multiple customer sites.
  • Partner with field technicians, vendors, and internal stakeholders to align schedules, site access, materials, and customer expectations.
  • Prepare quotes, service proposals, work summaries, and closeout documentation with strong attention to timing and detail.
  • Track open work orders, monitor deliverables, and escalate risks early to keep commitments on time and on budget.
  • Maintain organized digital records for completed service activity, including approvals, notes, receipts, and supporting paperwork.
  • Support an on-site service operation in Nashville by helping organize dispatch activity, technician readiness, and customer communication.
  • Contribute to process improvements related to purchasing, material flow, and service administration.
  • Participate in an after hours call rotation to help triage urgent service needs and route support appropriately.
  • Experience coordinating field service, facilities, construction support, maintenance operations, or contract administration in a fast-moving environment.
  • Strong Microsoft Office skills, especially Excel and Word, with the ability to manage documentation and status reporting.
  • Associate degree in business, operations, engineering technology, logistics, or a related discipline is preferred.
  • Clear and professional communication skills, with the ability to work across customers, technicians, suppliers, and internal teams.
  • Strong organizational instincts, sound judgment, and the ability to manage multiple priorities at once.
  • Valid driver’s license and ability to travel occasionally to customer or vendor locations as needed.
  • Authorization to work in the United States without sponsorship.
