The Construction Licensing & Permitting Coordinator is responsible for supporting the company's licensing, state registration, and permitting activities for construction projects across multiple states, including Florida, Texas, New Mexico, Kansas, and Missouri. This position ensures required registrations, permits, and licenses are submitted, renewed, and maintained in compliance with state and local regulations while coordinating with project managers, municipalities, and regulatory agencies.

Responsibilities

  • Prepare and submit state contractor registrations and business registrations.
  • Process construction permits and monitor approval status.
  • Maintain contractor licenses, renewals, and compliance documentation.
  • Track permit expiration dates and renewal deadlines.
  • Communicate with state agencies, municipalities, and permitting offices.
  • Maintain electronic and paper filing systems for licensing and permit records.
  • Assist project managers by obtaining permits before project start.
  • Prepare reports and maintain spreadsheets to track licensing and permit status.
  • Coordinate with insurance, legal, and finance teams to obtain required documentation.
  • Ensure company compliance with state and local licensing requirements.

Requirements

  • 2+ years of administrative experience, preferably in construction, utilities, engineering, or telecommunications.
  • Experience with contractor licensing, permitting, or regulatory compliance preferred.
  • Strong organizational and document management skills.
  • Excellent communication and follow-up abilities.
  • Proficient in Microsoft Office, especially Excel and Outlook.
  • Ability to manage multiple deadlines and work independently.
