Brokerage Services Coordinator 

 

Position Overview 

The Brokerage Services Coordinator plays a critical role in supporting our sales professionals across customer service, marketing, and transactional functions while managing multiple complex projects and competing deadlines. This position requires exceptional organizational skills, strategic thinking, and the ability to thrive in a dynamic, fast-paced commercial real estate environment. The ideal candidate will demonstrate strong leadership capabilities, advanced technical proficiency, and possess either an active real estate license or be actively pursuing licensure. Location: Indianapolis, IN

Schedule: Monday – Friday, 8:00 AM – 5:00 PM EST (Hybrid: 4 days in office, 1 day remote) 

Reports to: Manager, Brokerage Operations & Support 

 

Key Responsibilities 

Customer Service Excellence 

  • Coordinate and maintain on-site coverage schedules to ensure comprehensive support for the brokerage team 
  • Manage and maintain the brokerage pipeline in Dealius, conducting regular strategic reviews with the brokerage team to optimize opportunities and ensure data integrity 
  • Deliver exceptional customer service to brokers by proactively addressing complex inquiries, resolving escalated issues, and ensuring superior client satisfaction 

 

Marketing & Brand Management 

  • Develop, execute, and analyze customized email marketing campaigns while maintaining and optimizing contact databases across SharpLaunch and other third-party systems
  • Create marketing materials including flyers, brochures, offering memorandums, and opinions of value, using SharpLaunch and/or Adobe Creative Cloud
  • Collaborate with marketing and brokerage teams to develop comprehensive marketing strategies for diverse property types (retail, office, industrial, mixed-use)
  • Serve as primary liaison with marketing and research teams to ensure optimal service delivery for internal and external clients 
  • Manage property distribution and advertising across company website and industry platforms (LoopNet, Crexi, etc.), optimizing visibility and engagement 
  • Partner with Market Research team to conduct demographic analysis and create specialized mapping solutions for listings 
  • Lead the preparation of customized proposals, presentations, and communication materials for high-value opportunities in collaboration with marketing and research 
  • Coordinate site tour logistics by preparing comprehensive materials packages including flyers, floor plans, site matrices, and detailed itineraries 
  • Develop and execute social media content strategies for featured listings, major transactions, and company events 

 

Transaction Management 

  • Compile and review listing agreements for new properties, ensuring full compliance with licensing requirements and company standards 
  • Generate comprehensive listing and deal activity reports (inventory, expirations, pipeline) and proactively track critical dates through Dealius 
  • Execute the complete Closed Deal process according to established SOPs, including document abstraction, transaction detail confirmation, and broker coordination 
  • Draft amendments and coordinate with sales professionals to obtain necessary signatures while maintaining listing currency 
  • Manage complex document workflows through DocuSign for listing agreements, LOIs, lease agreements, amendments, and purchase agreements 
  • Monitor and analyze accounts receivable through Dealius reporting, coordinating with brokers on collection strategies for outstanding payments 
  • Update property and listing information across multiple databases and platforms, ensuring consistency and accuracy 
  • Input and analyze comparable data from in-house transactions to support market analysis 

 

Administrative & Strategic Support 

  • Maintain organized file management systems on company drive and Dealius, implementing best practices for data organization 
  • Actively participate in and contribute to team collaboration meetings, including bi-weekly department and sales meetings 
  • Support internal engagement activities and coordinate events for external partners, enhancing relationship building opportunities 


Performs other duties and responsibilities as assigned to support business needs and contribute to team success. 

 

Qualifications 

Education & Experience 

  • High school diploma or equivalent required, Associate's or Bachelor's degree preferred 
  • Prior experience in administrative, marketing, or client support roles with direct real estate industry strongly preferred


Skills & Competencies 

  • Exceptional interpersonal skills with demonstrated ability to build rapport and communicate effectively at all organizational levels 
  • Strong attention to detail with proven project management capabilities from inception through successful execution 
  • Superior verbal and written communication skills with ability to present complex information clearly 
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) with demonstrated expertise in data analysis and reporting 
  • Ability to manage multiple priorities simultaneously while maintaining quality standards 
  • Strategic thinking skills with ability to anticipate needs and proactively solve problems 
  • Demonstrated ability to work independently and as part of a collaborative team
