You'll be at the center of our Commercial Department, supporting project teams, coordinating billing, assisting leadership, helping customers, and keeping critical projects moving forward. What You'll Earn

What You'll Be Doing
As a key member of our Commercial Team, you'll help support the daily operations of our Operations Manager, Operations Coordinator, Estimators, Field Staff, and Leadership Team.
Keep Projects Moving
- Prepare and issue down payment invoices according to contract requirements
- Generate progress billings, partial invoices, and final invoices for commercial electrical projects
- Verify billing accuracy by coordinating with Operations and Estimating teams
- Track project documentation and maintain organized records
- Support project startup and closeout activities
Be the Go-To Problem Solver
- Serve as a primary contact for customers, contractors, and team members regarding billing and project documentation
- Assist with resolving administrative and billing-related issues quickly and professionally
- Help ensure projects stay organized, compliant, and on track
Manage Critical Project Documentation
- Prepare and distribute Certificates of Insurance (COIs), lien waivers, W-9s, subcontractor agreements, and project contracts
- Follow up with vendors and subcontractors for compliance documentation
- Maintain accurate project and billing files
Support the Office & Leadership Team
- Manage incoming and outgoing mail, packages, and deliveries
- Coordinate shipping and courier services
- Monitor and maintain office supply inventory
- Scan, organize, and distribute documents
- Provide administrative support across departments as needed
Help Drive Business Performance
- Compile reports related to project progress, billing status, revenue tracking, and departmental performance
- Assist leadership in monitoring key commercial metrics and project trends
- Help provide the information needed to make smart business decisions
Additional Responsibilities
- Serve as a Notary Public for company and project-related documents when required
- Ensure all notarizations are completed accurately and in compliance with applicable regulations
Who We're Looking For
We're looking for someone who takes pride in being dependable, organized, and detail-oriented.
You may be a great fit if you have:
- Administrative, billing, project coordination, or office management experience
- Experience in construction, electrical, service, or commercial contracting environments (preferred)
- Exceptional organizational and multitasking skills
- Strong attention to detail and accuracy
- Excellent communication and customer service abilities
- Proficiency with Microsoft Office and business software systems
- The ability to prioritize tasks and adapt in a fast-paced environment
- A positive attitude, professional demeanor, and strong work ethic
- Notary Public certification (preferred) or willingness to obtain certification
