ABOUT THE ROLE
 

We are looking for an Inventory & Materials Analyst to own inventory control and intercompany materials management for our Guadalajara operations. This role is the operational backbone of inventory accuracy — ensuring that what the system says we have matches what is physically on the floor, that materials move correctly between HQ and Mexico, and that leadership has clean, reliable inventory data to act on.

 

This role sits within the Guadalajara supply chain team and reports to the Mexico Supply Chain Manager. It works closely with the Logistics Specialist, the MX buyers, and the SF-based Strategic Sourcing & Procurement Manager on intercompany flows and inventory reporting. It is a high-accuracy, high-accountability role for someone who takes systems integrity seriously and understands that bad inventory data creates real production problems.

  • Execute regular cycle counts across all inventory locations; investigate and resolve discrepancies between physical counts and system records
  • For multi-site inventory events, coordinate with on-site teams at other locations and occasionally travel to SF or other sites to lead or support those efforts
  • Conduct and oversee periodic full physical inventories; reconcile results and implement corrective actions for root causes
  • Process inventory adjustments and system transactions in NetSuite accurately and with proper documentation
  • Monitor and manage shelf life and component expiration — maintain a tracking process for date-sensitive materials, flag items approaching expiration, and coordinate disposition with the SC Manager and procurement team
  • Monitor and report on inventory trends — excess, obsolete, slow-moving, and project-specific materials
  • Maintain organized, labeled, and accessible inventory in coordination with warehouse personnel
  • Create and manage intercompany purchase orders and sales orders to facilitate material movement between HQ and Mexico
  • Coordinate monthly fulfillment processes with the Logistics Specialist and procurement team to ensure timely material availability
  • Monitor intercompany material movements and resolve discrepancies or delays in coordination with relevant stakeholders
  • Ensure all intercompany transactions are accurately documented and reflected in NetSuite
  • Prepare and present monthly inventory reports categorized by project, excess, obsolete, R&D, services, and other relevant categories
  • Provide operational insights to the SC Manager on inventory status — accurate data with context that enables good decision-making
  • Track inventory KPIs and flag anomalies, trends, or risks before they escalate
  • Support project-level inventory reviews by providing accurate stock status and highlighting items requiring disposition decisions (reallocation, disposal, or additional procurement)
  • Maintain data integrity in NetSuite across all inventory-related transactions
  • Identify and flag recurring discrepancy patterns or process gaps that create inventory error risk
  • Support continuous improvement initiatives related to inventory control, cycle count efficiency, and reporting accuracy
  • Document inventory procedures and keep them current as processes evolve
  • 4–6 years of experience in inventory control, materials management, or supply chain planning in a manufacturing or industrial environment
  • Strong hands-on experience with ERP systems — NetSuite preferred; must be comfortable creating and managing POs, SOs, adjustments, and reports in the system
  • Proven track record of maintaining high inventory accuracy and resolving discrepancies systematically
  • Experience with intercompany transactions and cross-border material management is a meaningful advantage
  • Strong analytical skills and high attention to detail — this role lives and dies by data accuracy
  • Clear communicator — able to prepare and present inventory reports to management in a structured, concise format
  • Conversational English required; Spanish native or fluent
  • Proficiency in Microsoft Excel and Office Suite for reporting and analysis
  • You believe that inventory accuracy is not a soft goal — it is a prerequisite for everything else in supply chain working correctly, and you treat it that way
  • You are systematic and thorough — you don’t close out a discrepancy until you understand why it happened
  • You keep your data clean and your documentation current without being asked, because you know someone is relying on it
  • You stay ahead of shelf life — you’re not waiting for someone to find an expired part on the floor
  • You are proactive about flagging problems — you don’t sit on bad news or bury it in a report
