20–24 hours per week
The Buffalo and Erie County Botanical Gardens is seeking a highly organized, detail-oriented, and people-focused Development Coordinator to support the daily operations of our Development team.
This role is ideal for someone who enjoys administrative coordination, relationship building, database management, and supporting meaningful community engagement. The Development Coordinator serves as a key point of support for donor communications, fundraising events, record management, and donor stewardship activities that help advance the Botanical Gardens’ mission.

What You'll Do
Administrative & Development Support
- Provide administrative support to the Development team and assist with day-to-day fundraising operations.
- Maintain accurate donor and supporter records within the donor database.
- Process gifts, acknowledgments, and donor correspondence in a timely and professional manner.
- Prepare reports, mailing lists, and other documents that support fundraising and engagement efforts.
- Assist with departmental projects, campaigns, and strategic initiatives as needed.
Donor Relations & Communications
- Serve as a welcoming and responsive point of contact for donors, supporters, and community partners.
- Help coordinate donor communications, acknowledgments, and stewardship activities.
- Support annual giving campaigns, giving days, matching gift opportunities, and donor recognition programs.
- Assist with the administration of the Botanical Gardens’ Tribute Program.
Event & Engagement Coordination
- Support the planning and execution of fundraising events, donor receptions, and community engagement activities.
- Collaborate with staff across departments to help create exceptional experiences for donors and guests.
- Assist with logistics, communications, and follow-up activities related to fundraising and stewardship events, including the Botanical Bash.
Data Management & Reporting
- Ensure donor information is maintained with a high level of accuracy, confidentiality, and professionalism.
- Track donor and fundraising activity and assist in preparing reports and analytics.
- Help identify trends and opportunities that support donor engagement and organizational growth.
Team Collaboration
- Work collaboratively with staff, volunteers, and community partners to support organizational goals.
- Contribute ideas and solutions that improve processes and enhance donor experiences.
- Help foster a positive, welcoming, and inclusive environment for visitors, supporters, and fellow team members.
Qualifications
Education & Experience
- Minimum of two years of undergraduate coursework.
- Two years of experience in an administrative, nonprofit, fundraising, customer service, or related role preferred.
- Experience working with databases, CRM systems, or donor management software is a plus.
- Grant writing and budget experience are helpful but not required.
Skills & Attributes
- Strong organizational and administrative skills with exceptional attention to detail.
- Ability to manage multiple projects and priorities simultaneously.
- Excellent written, verbal, and interpersonal communication skills.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Comfortable learning and utilizing database and donor management systems.
- Self-motivated, dependable, and collaborative.
- Positive attitude and enthusiasm for supporting a mission-driven organization.
