The Role:

As HR Coordinator, you'll serve as a key operational partner for our HR team, ensuring every employee experience—from day one to their final day—is smooth, supportive, and aligned with OneCanvas values. This role sits at the intersection of administrative excellence and employee engagement, where your work directly shapes how people connect with our agency.

You'll own end-to-end onboarding experiences, maintain critical HR records with precision, support talent acquisition efforts, and help bring employee recognition programs to life. If you thrive in a fast-paced environment and have a passion for HR, take pride in being the person who helps things run smoothly, this is your opportunity.

  • Lead the new hire experience: Own the onboarding journey from welcome packet delivery through orientation scheduling and system enrollment—ensuring every new team member feels welcomed and prepared from Day One.
  • Manage offboarding with care: Coordinate equipment returns, secure file transitions, and handle system deactivations while maintaining a positive, professional exit experience.
  • Maintain compliance-ready records: Keep employee files current throughout their lifecycle, including organization charts, I-9 documentation, and personnel records with strict attention to accuracy and confidentiality.
  • Keep data accurate: Update employee records promptly following promotions, title changes, or FLSA reclassifications across all HR systems.
  • Learning & Development Support
    • Enable growth: Assist with scheduling and logistics for company-wide training programs.
    • Respond to inquiries: Serve as a trusted point of contact for internal and external HR questions, providing timely and accurate guidance, knowing when to escalate.
    • Employee Experience & Recognition
      • Build community: Oversee and enhance employee recognition initiatives including Anniversary Awards, Wellness program and other rewards and recognition programs.
      • Support team operations: Provide essential administrative support including scheduling, email management, and correspondence to keep the HR team operating efficiently.
      • Talent Acquisition Support
        • Drive hiring workflows: Manage job requisitions within our applicant tracking system and prepare offer letters once approved, keeping candidates engaged throughout the process.
        • Enable decision-making: Generate hiring reports and insights for leadership to support data-driven recruitment decisions.
  • Proactive Problem Solver: You don't just identify issues; you propose solutions. Whether it's streamlining a welcome packet process or anticipating scheduling conflicts, you stay ahead of the curve.
  • Communication Excellence: You craft clear, professional emails and handle sensitive inquiries with diplomacy. Your writing is concise, and your verbal communication builds trust quickly.
  • Detail-Oriented Organizer: You take personal ownership of accuracy. In a role where a missed I-9 deadline or a wrong title update matters, you are the person double-checking the work before it ships.
  • Adaptability in Motion: You thrive in our fast-paced, creative environment. When priorities shift or urgent requests come in, you pivot gracefully without losing momentum.
  • Cross-Functional Collaboration: You build bridges across departments. From coordinating training logistics with Learning & Development to partnering with hiring managers on recruitment needs, you collaborate effectively to align HR initiatives with broader business goals.
  • Feedback Resilience: You view feedback as fuel for growth. You actively seek input on your performance and respond constructively to refine your approach.
  • Unwavering Confidentiality: You understand that trust is the currency of HR. You handle sensitive data and personal employee information with the utmost discretion and integrity.
  • Eagerness to learn with a can-do attitude, proactive and solution oriented
