Responsibilities
~1 min readResponsible for ensuring all vaccines in clinic are stored and handled correctly. May delegate duties to lower level staff.
Support physicians, nurse practitioners, physician assistants, and/or nurses by taking vitals, assisting in medical examinations and other specific procedures. Complete and monitor all lab work for quality assurance and ensure compliance with all auditing authorities.
- Oversee proper receipt, storage and transport of vaccine shipments
- Ensure current Vaccine Information Statement is always used
- Maintain all appropriate storage and handling documentation as set by the Center for Disease Control and Prevention (CDC)
- Maintain storage equipment in compliance with CDC standards and manufacturer’s guidelines
- Maintain records, including Vaccines for Children (VFC) and Adults (VFA) program documentation
- Report and return vaccines within 30 days of expiration or spoilage
- Store and label vaccines in storage units following CDC guidelines; ensure vaccines are organized within the unit and inspect storage unit daily
- Check stock weekly and rotate when a shipment arrives so vaccine closest to expiration date is used first
- Promptly remove expired vaccines from the storage unit; ensure never administered to a patient
- Work with the San Diego Immunization Registry / Public Health Department to transfer vaccines close to expiration
- Ensure a digital data logging thermometer with a current certificate of calibration is maintained for each vaccine storage unit
- Monitor (read and document) temperatures for each storage unit a minimum of twice per workday (at the beginning and end of the workday); ensure they are compliant with all programs per VCC policy
- Read and document storage unit minimum and maximum temperatures each workday morning
- Respond to any possible temperature excursions using the emergency protocol
- Place vaccine orders, assuring an adequate stock of vaccines are available without under or overstocking
- Label private stock separately from public stock
- Maintain a regular schedule to count vaccine inventory at least once a month
- Complete Returns and Reconciliations in the San Diego Immunization Registry as needed
- Monitor vaccine inventory in EPM file maintenance and SDIR for all vaccine programs (VFC, VFA (317), Clinic and state vaccines)
- Maintain knowledge of SDIR registry reporting system; send out Reminder/Recall postcards; contact parents when mail is returned; ensure all new onboarding staff obtain SDIR/CAIR passwords
- Report in EHR: immunizations completed/not completed, vaccine reconciliation, missed opportunities
- VFC & VFA program: order vaccines on a monthly basis; account for all inventory and store them properly per program guidelines, prepare sites for audits, recertify for sites annually
- Flu Season: Allocate and order Clinic stock and State flu for all sites; order initial VFC flu order for all sites; ensure all sites are compliant with weekly state flu reporting; pick up State flu vaccines and vaccinate all VCC employees; complete data entry for all staff who receive flu vaccine; organize flu clinics for main branch and assist off sites to set up for their flu clinics; return all expired flu vaccines at end of season
- Clinic stock: report/review and order clinic sock immunizations for all sites on a monthly basis; distribute PPD to all sites
Requirements
~1 min read- High school graduate or equivalent
- Clinical Medical Assistant Certification indicating completion of program from an approved school or hospital including externship
- Bilingual English/Spanish
- Current CPR certification
- Minimum of one year back office experience in a clinical environment
- Phlebotomy experience; certificate preferred
- Good knowledge of general back office procedures, such as taking vitals, performing venipuncture, administering immunizations, etc
- Good comprehensive knowledge of medical terminology in English and Spanish
- Emergency response capability for possible crisis situations
- Experience/familiarity with computers, Microsoft Office products (Word/Excel), business e-mail communication systems and internet search capabilities
Pay Range
- $23.00 - $25.00 depending on experience
