The Service Administrator’s primary responsibility is to provide logistical support to all Shop and Field Service Supervisors, Assistant Supervisors and Technicians in their related functions to better enable those personnel to provide the best service repairs available in the industry.

  • Answer inbound phone calls for the branch
  • Initiate , maintain and close work orders
  • Achieve the highest levels of customer satisfaction, employee engagement and profitability
  • Ensure all work orders comply with the SOP‘s for service operations To include
    • Proper PO#’s
    • SIMS entries
    • Outside Purchase order management
    • Warranty compliance
    • PI/PSP compliance
  • Issue PO#’s to vendors for sub-let work and materials and accounting those invoices upon receipt.
  • Prepare work-orders for warranty processing to include report, pictures, claim stories.
  • Advise PSSR’s of their customer machines that are being repaired in the field
  • Communicate with customers on repairs status and or related business
  • Prepare work orders for invoicing to include closing and reviewing
  • Scan necessary work order documents
  • Assit supervisors with estimate creation
  • faciliate purchasing and invoice accounting for branch supplies / puchasing needs
  • Comply with work rules and company policies
  • Any special projects deemed necessary.
  • Maintain monthly jobs exception report
  • Conform to industry and company performance metrics and benchmarks
  • Process all credit card and third party billing systems (ARIBA) .

Requirements

  • 3-5 years of administrative and customer service experience preferably in the heavy equipment, Ag, trucking, automotive industries
  • Advanced user of all Microsoft Office products to include Excel preferred
  • Working knowledge of DSI, SIMS, SIS web and DBSI a plus
  • Accounts reveivable and payable experience
  • Exceptional communication, Good interpersonal skills
  • Excellent organizational skills
  • Ability to carry on effective communication with customers to maintain a high level of customer loyalty
