The Talent Acquisition Coordinator supports the Talent Acquisition function by delivering a high-touch candidate experience, maintaining recruiting operations, administering iCIMS workflows, compiling recruiting analytics and reporting, and supporting new hire data entry and updates in ADP. This role serves as a key operational partner to recruiters, hiring leaders, Human Resources, and candidates by helping ensure recruiting processes are accurate, timely, compliant, and candidate-centered from application through onboarding.
The ideal candidate is highly organized, detail-oriented, service-oriented, and comfortable working across recruiting systems, candidate communications, scheduling, reporting, and administrative workflows
Responsibilities
~1 min read· Provide day-to-day coordination support for the Talent Acquisition team, including interview scheduling, candidate communication, offer process support, and pre-employment activity coordination.
· Deliver a professional, timely, and candidate-centered experience throughout the recruitment lifecycle.
· Serve as a primary point of contact for candidates during scheduling, interview logistics, and pre-employment steps, ensuring candidates understand next steps and feel supported.
· Coordinate interview logistics across departments, leadership levels, locations, and virtual platforms, including meeting links, agendas, candidate preparation details, and travel arrangements as needed.
· Partner with recruiters and Human Resources to support offer preparation, offer delivery logistics, background checks, references, and required hiring documentation.
· Support onboarding readiness by helping ensure candidate-to-new-hire handoffs are accurate, timely, and aligned with internal process expectations.
· Serve as a strong iCIMS resource for the Talent Acquisition team by maintaining candidate records, requisition activity, recruiting workflows, and documentation within the applicant tracking system.
· Administer job postings and candidate movement through iCIMS in alignment with approved recruiting processes and compliance requirements.
· Enter new hire information into ADP accurately and timely in partnership with Human Resources and Talent Acquisition.
· Make approved updates to new hire and employee records in ADP as needed, ensuring information is complete, consistent, and aligned with source documentation.
· Coordinate with Talent Acquisition, HR, Payroll, and other internal partners to resolve missing or incomplete new hire information.
· Support the transition from accepted offer to new hire record creation by ensuring required data is captured, entered, and maintained appropriately.
· Maintain confidentiality and accuracy when handling candidate and employee information across iCIMS, ADP, and related HR systems.
· Support consistent execution of Talent Acquisition processes, procedures, and administrative workflows.
· Assist with recruiting process documentation, checklist maintenance, audit preparation, and compliance-related administrative support.
· Support hiring events, recruiting campaigns, and special projects in an administrative and coordination capacity.
· Provide responsive support to recruiters, hiring leaders, HR partners, and candidates while balancing multiple priorities in a fast-paced environment.
· Partner with Human Resources, hiring leaders, recruiters, and onboarding partners to support a smooth transition from candidate to employee.
· Support onboarding readiness activities, new hire communications, and first-day preparation details.
· Help ensure new hires receive timely, accurate information and a welcoming experience before and during their first day.
Requirements
~1 min read· In this position, individual will be expected to lift up to 20 pounds from time to time.
· Associate's degree or equivalent combination of education and experience.
· 2+ years of recruiting coordination, HR coordination, Talent Acquisition Operations, or related experience.
· Experience working within an ATS (iCIMS preferred).
· Strong organizational and project coordination skills.
· Excellent written and verbal communication skills.
· Ability to manage multiple priorities in a fast-paced environment.
Nice to Have

· Experience supporting recruiting analytics and reporting.
· Experience with process improvement initiatives.
· Financial services or regulated industry experience.
· The majority of work will be completed indoors at credit union facilities. This position is periodically exposed to outside weather conditions, including extreme heat and cold. Daily travel is expected between credit union locations in the Kansas City metropolitan area. Some after-hours and weekend work will be required but is not the norm.
· Outside of your primary travel location, travel will be required up to 15% in non-primary locations.
