Position Overview: This position is responsible for the administrative and accounting functions of the Asset Department ensuring that project spend is properly approved, spending monitored and reported; contracts and compliance documents are properly executed; and asset data and information is properly maintained in CF's systems of record.

 

What you will do:

  • Provide setup of construction projects and on-going budget maintenance in Oracle Project Module
  • Accurate Data entry of budget details from approved capital and major repair expenditure projects.
  • Maintain schedules and project work orders assigned to site supervisors according to project timelines for both planned and unplanned projects
  • Administer supporting documents for project managers such as electronic project files, purchase orders, contracts and project transaction reports
  • Review, code and ensure proper approvals for all invoices prior to payment, support of PO system and account reconciling based on approved budgets, when applicable issue lien waiver.
  • Obtain and process necessary paperwork for new contractors which include W9, ACH, sales and excise tax numbers, certificate of insurance and certificate of authority
  • Administer and document all phases of construction contracts, including insurance and lien waivers to minimize company risk
  • Coordinate and maintain all aspects of insurance documentation to include insurances from our contractors. Work with company insurance representatives to obtain insurance documentation acceptable to Christensen Farms policy requirements
  • Assist with all aspects of contracts with site supervisor and business development administrator.
  • Maintenance, scanning and retrieval of our construction electronic filing system
  • Create, review and post all project related work orders and bookings
  • Schedule and agenda creation for bi-weekly and monthly construction department meetings
  • Review and update project management processes on a yearly basis to ensure content is current for yearly training and upload into the LMS
  • Track asset information in Fixed Asset system, assisting with reporting and reconciling of construction spend; preparing journal entries as directed
  • Understand the controls and processes of construction project management and provide process improvement suggestions as well as communicate and implement efficiency and effectiveness measures
  • Provide support to the Accountants and Construction Project leadership; responding to questions, requests for information and implementing process changes and controls
  • Process invoices for payment and support Accounts Payable as needed
  • Prepare and coordinate forecasts of estimated project spend, project closure dates and assisting in the annual planning process
  • Prepare and route capital request forms and accompanying documents for approval
  • Prepare and analyze actual capital and major repair project costs vs. budgeted to assist in identifying issues or needed process improvements upon project closure with accounting
  • Maintain Field Service Asset data to ensure accurate and current information
  • Provide excellent customer service to both internal and external customers

 

Repair/Maintenance:

  • Maintain working relationship with Maintenance and Repair Dispatcher regarding contractor relations and cross departmental work with M and R Department
  • Assist M & R Operations Coordinator with Field Service KPI's associated with Construction projects

 

Safety:

  • Administer all safety boot vouchers for new hires and annual boot truck visit

 

General Responsibilities:

  • Perform related duties and projects as assigned
  • Provide customer service support for any Field Service-related issues or process questions.

  • Bachelors or Associate in Accounting or Business degree is preferred, but will consider relevant work experience or other education as well.
  • Strong knowledge of business operations with the ability to support both planned and unplanned projects.
  • Proficiency in Microsoft Word, Excel, and Outlook and familiarity with accounting and/or procurement systems.
  • Attention to detail in managing project budgets, invoices, contracts, and compliance documents.
  • Ability to analyze project costs, track asset data, and assist with reconciliations and reporting.
  • Organizational skills to maintain accurate project files, schedules, and work orders.
  • Communication skills to collaborate with project managers, supervisors, contractors, and cross-departmental teams.
  • Dependability and accountability in supporting accurate, efficient financial and operational processes.
  • Proficiency in English required

  • The targeted base pay range for this role is $22 to $27 per hour with this range reflecting differences in candidate knowledge, skills, and experience.
