Colibri Group is a leader in online professional education, serving more than one million learners each year across a family of trusted education brands. Our Real Estate education business helps aspiring and current real estate professionals meet licensing requirements, build their skills, and move forward in their careers through accessible, high quality education.
We’re looking for a Customer Service Representative, Real Estate Operations to help create a smooth, accurate, and supportive experience for students throughout their real estate education and licensing journey.
This is a fully onsite position and requires working in the office five days per week.
This is an individual contributor role responsible for coordinating student communications, course and exam administration, regulatory reporting, and day-to-day program operations. You’ll serve as an important connection point between students, instructors, sponsors, regulatory agencies, and internal teams while helping ensure programs run efficiently and in accordance with state licensing requirements.
We’re looking for someone who is highly organized, service oriented, and comfortable managing a lot of moving pieces. You should be equally comfortable answering student questions, tracking deadlines, maintaining accurate records, coordinating exams and course requirements, and working across teams to resolve issues before they become problems.
Responsibilities
~1 min read- →Support students throughout Pre-Licensing and Post-Licensing programs, including welcome communications, course requirements, exam information, deadlines, retake procedures, and next steps toward licensure
- →Coordinate course and exam administration across classroom, livestream, and online programs, including tracking completion, verifying exam eligibility, processing results, and maintaining required documentation
- →Maintain accurate student records and prepare required course, completion, enrollment, and pass/fail reporting for state regulatory agencies
- →Serve as a day-to-day operational partner to instructors by providing rosters, student progress information, course results, and administrative support
- →Coordinate Continuing Education sponsorship activities and support communications, scheduling, logistics, and participation tracking for external partners
- →Help coordinate career expos, networking opportunities, and student engagement events, including registrations, communications, vendors, employers, and event logistics
- →Maintain operational trackers and reporting while identifying opportunities to improve processes, accuracy, efficiency, compliance, and the overall student experience
- 2+ years of experience in customer service, education administration, program coordination, operations, or a related environment
- Strong organizational skills and the ability to manage multiple priorities, deadlines, and detailed processes at the same time
- A high level of attention to detail and a demonstrated commitment to accurate documentation and recordkeeping
- Strong written and verbal communication skills, with the ability to provide clear, helpful information to students, instructors, partners, and internal teams
- Comfort working with data, spreadsheets, tracking systems, and operational reporting.
- The ability to identify issues, research discrepancies, and follow through to resolution in a fast-moving environment
- An associate degree or equivalent combination of education and relevant professional experience
- Ability to work fully onsite, five days per week, as required for this position
Experience in education, professional licensing, regulatory operations, workforce development, events, or external partnership coordination is helpful but not required.
Experience with every system below is not required. We are most interested in your ability to learn new tools quickly, maintain accurate information, and use systems effectively to support students and operational processes.
- Learning Management Systems
- Student information or education administration systems
- CRM platforms
- Microsoft Excel or similar spreadsheet tools
- Internal reporting, tracking, and documentation systems
- Your work will have a direct impact on students working toward an important professional milestone
- You’ll play a key role in making complex education and licensing processes easier for students to navigate
- You’ll have visibility across multiple parts of the business, including education operations, instructors, regulatory requirements, partnerships, and student experience
- You’ll have opportunities to identify better ways of working and contribute to improvements in processes and programs
- You’ll work with a team that values responsiveness, accuracy, collaboration, and a great customer experience
- Join a mission-driven organization where your organization, judgment, and ability to make things happen will have a visible impact
You may not check every preferred box, and that is okay!! Experience in education is helpful, but strong candidates may also come from customer operations, healthcare administration, financial services, credentialing, workforce development, hospitality operations, or other environments where accuracy, deadlines, documentation, and customer communication matter.
However, this role does require strong attention to detail, organization, and comfort managing administrative and customer-facing responsibilities at the same time. If your recent experience has primarily focused on high-volume transactional customer service without ownership of follow-up, documentation, coordination, or operational processes, this may not be the right opportunity.
If you enjoy keeping things organized, solving problems, helping people navigate complicated processes, and making sure nothing falls through the cracks, we would love to hear from you.
We want our interview process to give you a clear picture of the role, the team, and what it’s like to work at Colibri while giving us the opportunity to understand your experience, how you approach your work, and what you’re looking for next.
While the exact process may vary slightly, you can generally expect:
- Recruiter Conversation
An introductory conversation with a member of our Talent Acquisition team to learn more about your experience, career goals, and interest in Colibri. We’ll also share more about the role, team, compensation, and what to expect throughout the process - Hiring Manager Conversation
A deeper discussion with the hiring manager focused on your relevant experience, how you stay organized, how you approach customer and operational challenges, and the priorities this person will own - Team and/or Cross-Functional Conversation
You may meet with a future teammate or partner you would work closely with. This conversation is designed to explore the skills and experiences most relevant to the position while giving you the opportunity to learn more about how the team works together - Final Conversation and Decision
Depending on the interview team, there may be a final conversation with an additional leader or stakeholder. Our Talent Acquisition team will keep you informed about next steps and timing throughout the process.
Our goal is to make the experience thoughtful, respectful, and transparent. We encourage you to ask questions throughout the process, we’re evaluating the opportunity together.
Colibri Group is an Equal Opportunity Employer. We celebrate diversity and are committed to creating an inclusive environment where everyone feels welcome, respected, and empowered to do their best work. We encourage qualified candidates from all backgrounds, experiences, and career paths to apply.
