Under direct supervision, the Human Resources Professional serves as the first point of contact for the Division of Human Resources, providing professional customer service and directing inquiries via phone, email, and in person. The incumbent provides administrative support to the HR team, assists with onboarding coordination, supports recruitment activities, maintains confidential records and HR systems, and provides recruitment process guidance and status updates. Additional responsibilities include maintaining recruitment files, preparing reports, coordinating meetings and events, supporting student assistants, and collaborating with individuals at all levels of the organization while ensuring efficient front desk operations and exceptional customer service.

Responsibilities

  • Perform onboarding activities for staff, management, faculty, and student employees by coordinating HR documents, compliance forms, and onboarding workflows in CSU Recruit and Tracker I-9.
  • Serve as the primary point of contact for onboarding portal users by responding to questions, guiding applicants and delegates, and troubleshooting routine system issues.
  • Review personnel documents for accuracy and completeness and prepare records in accordance with HR recordkeeping standards.
  • Coordinate virtual and in-person onboarding sessions, prepare meeting invitations, and meet with new employees to review onboarding documentation.
  • Monitor Campus Request Forms through AdobeSign to ensure timely routing, approvals, and completion.
  • Provide front-office HR support by answering phone, email, and in-person inquiries, resolving routine questions, and directing complex issues to the appropriate HR staff.
  • Coordinate daily office operations by monitoring supplies, processing mail, distributing documents, and submitting work orders.
  • Support employee offboarding by processing separation documentation and assisting departments with offboarding procedures.
  • Process volunteer and third-party system access requests, verifying background check and Live Scan requirements.
  • Serve as the Absence Management timekeeper and attendance clerk by entering leave data and assisting employees with timekeeping inquiries.
  • Complete unemployment verification requests and respond to external agency inquiries accurately and timely.
  • Monitor I-9 reverification deadlines and notify employees and departments to maintain federal compliance.
  • Enter, review, and update personnel data in PeopleSoft, including name changes, Person of Interest (POI) requests, and educational updates, while routing documentation to Payroll and Benefits.
  • Provide backup support for background check processing, including document collection and communication with candidates and departments.
  • Support student employee transactions in PeopleSoft, including hires, job changes, separations, and other personnel actions during peak periods.
  • Assist with HR projects, events, and New Employee Orientation (NEO) by preparing materials, coordinating logistics, and delivering presentations.
  • Support the Director with special projects, calendar management, and administrative priorities.
  • Perform other HR, classification, and administrative duties as assigned to support departmental operations.

Requirements

  • Equivalent to a bachelor’s degree in a related field. Relevant education and/or experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.
  • General knowledge of human resources, benefits administration, recruitment, and/or another human resources discipline.
  • Skill in following guidelines and providing input and feedback as required and applicable to regulatory compliance.
  • Strong attention to detail and accuracy
  • Strong communication and interpersonal skills to effectively present information in a diverse environment.
  • Ability to work independently and as part of a team and build relationships with diverse
  • stakeholders.
  • Ability to maintain confidentiality and appropriately handle sensitive information.

  • Bachelor's degree in Human Resources, or related field.
  • Federal I-9 Verification and Compliance experience.
  • On-Boarding of new employees within an organization.
  • Experience working in Human Resources, higher education environment.
  • Experience in front office work.
  • Fluency in using standard office software packages such as Microsoft Word, Excel, Access, and Outlook.
  • Experience with Applicant Tracking Software (ATS), PeopleSoft or related systems.
  • Demonstrated ability to manage confidential information; exercise good judgment and take initiative as needed; possess excellent organizational and time management skills.
  • Strong critical thinking, analytical, research, problem-solving, and conflict resolution skills.
  • Ability to effectively work with a team.
  • Ability to maintain a high level of confidentiality in the handling and security of confidential records.
  • Working knowledge of applicable state and federal employment and education laws and regulations.
  • Demonstrated proficiency in ability to effectively use common computer and technology programs and related computer software packages (e.g., Microsoft Office Suite, Zoom, etc.) in the course of assigned duties.
  • Excellent interpersonal and communication skills.

What We Offer

The salary offered will take into account internal equity and experience among other factors.

Initial salary step placement will be Step 1 - $4,799 per month for qualified candidates.

CSU Classification Salary Step Range: $4,799 - $6,992 per month (Step 1 – Step 20)

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Eligible employees are also able to participate in the fee waiver education program. A summary of benefit information can be found here.

Work status: Full-time/Non-Exempt/Temporary (up to one year with the possibility of further renewal)
