What We Offer
~1 min readThe Administrative Operations Support Coordinator provides high-level administrative and operational support to the Operations Manager, helping ensure the efficient execution of business processes, client compliance requirements, and internal coordination efforts. This role serves as a key organizational resource, managing documentation, tracking critical deadlines, and facilitating communication across departments. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities while supporting a fast-paced operations environment.
Responsibilities

Administrative & Operational Support
- →Provide direct administrative support to the regional office, including local correspondence, employee support and coordination of operational activities.
- →Prepare reports and documents to support business operations.
- →Maintain organized records, files, and documentation for easy retrieval and audit readiness.
People & Asset Coordination
- →Support onboarding and offboarding activities by coordinating with Human Resources and department managers.
- →Coordinate with the Operations Manager to ensure accurate tracking of company vehicle records, registrations, and insurance.
- →Coordinate with department managers to place orders for PPE and office apparel as needed.
Marketing, Conferences & Events Coordination
- →Coordinate logistics for conferences, industry events, and internal meetings, including registrations and scheduling.
- →Collaborate with Marketing to support the development and distribution of presentations and marketing materials.
- →Participate in monthly Ops Support meetings with the Marketing department.
Calendar & Deadline Management
- →Maintain and update the regional business calendar, including internal milestones such as planning cycles, industry events, training, etc.
- →Ensure the Operations Manager is informed of upcoming priorities and deadlines.
Client & Compliance Support
- →Assist the Operations Manager in compiling responses to client Requests for Qualifications (RFQs) and Statements of Qualifications (SOQs), ensuring accuracy and timely submission.
- →Assist the Operations Manager in maintaining and updating employee and transient cyber asset records to support client NERC CIP compliance requirements.
- →Assist the Operations Manager in tracking client Certificate of Insurance (COI) requirements, ensuring timely renewals and submissions.
Business Operations & Reporting
- →Assist in coordinating business planning activities and tracking key deliverables across departments.
- →Assist in identifying and resolving invoicing data discrepancies.
- →Support invoicing efforts by creating and submitting invoices via NetSuite and client portals, as needed.
- →Provide cross-office support during peak periods or as availability permits.
Additional responsibilities and tasks as required to support the organization's goals and adapt to evolving business needs.
- Must have a satisfactory background check.
- Good organizational and time management, and customer service skills.
- Ability to multitask.
- Problem-solving while meeting deadlines.
- Effective written and verbal communication skills.
- Ability to work independently while supporting a team-oriented environment.
- Have an understanding of billing software.
- Computer proficiency (Microsoft, Adobe Pro).
- Ability to maintain internal and external relationships.
- High school diploma/GED is required.
- Bachelor’s Degree is preferred.
- 3-5 years of relevant experience is preferred.
Requirements

- Minimal local travel; must have reliable transportation, possess a valid driver’s license, and be insurable.
- Ability and willingness to work occasional overtime as needed.
