We run two businesses on our operational stack: a compensation model for family caregivers, and an e-commerce business built mainly on Shopify. Both depend on data flowing cleanly between systems, on processes that hold up as we scale, and on automation that removes manual work. That stack is yours.
You’re the bridge between messy manual operations and sleek, automated systems. You start by understanding the business: the workflows, the bottlenecks, the “why” behind every process. Then you decide where a third-party tool fits, where an integration fits, and where a custom script or app fits, and you build it.
This role is about turning ambiguity into working systems. You design the architecture, make the build-vs-buy calls, implement the solutions, and make sure the teams who depend on them actually adopt and trust them. Autonomy? Absolutely. Broad ownership? Totally.

Own and evolve our core CRM: the data model, internal workflows, data quality, and admin.

Keep operational data clean and well-structured, so it can power reporting in our BI tools.

Govern the customer journey end to end, with every touchpoint tracked consistently and completely across both businesses.

Build integrations across the stack, connecting our e-commerce platform, logistics and fulfilment, telephony, and our CRM so data and events flow automatically.

Automate operational triggers and handovers, for example a new online order kicking off fulfilment and shipping without manual steps.

Make the build-vs-buy call between third-party platforms and in-house scripts and apps, and justify it on fit, cost, maintainability, and scale.

Hunt down repetitive, error-prone manual work across teams and eliminate it through automation and tooling.

Build scalable solutions that work today and grow with the business.

Onboard, train, and support users across multiple teams so the systems you build actually get used.

Keep systems, workflows, and data reliable, traceable, and future-proof.
Strong, hands-on CRM experience, ideally with HubSpot (our core CRM), covering data model, workflows, integrations, and admin.
A proven track record building integrations and APIs that connect business systems such as e-commerce, logistics, telephony, and communication tools.
Hands-on experience with low-code workflow automation platforms (e.g. n8n).
Practical coding ability in JavaScript/TypeScript or Python, used to build maintainable scripts and internal tools.
Sound build-vs-buy judgment, with the ability to evaluate third-party tools against in-house solutions and defend the call.
An instinct for data structure and integrity, keeping operational data clean enough to power analytics and reporting.
5+ years in business systems, process automation, operations engineering, or a similar systems-owning role.
Comfortable across more than one business model, since we run both a service operation and an e-commerce operation.
Experience in startup or scale-up environments, thriving in fast-moving, ambiguous situations.
A track record of improving operations in dynamic, complex workflows (call centers, service teams, case handling, order operations, or comparable).
High autonomy and ownership. You drive change without waiting for a roadmap to be handed to you.
You start from the business and process, then apply tech where it adds value, keeping it production-ready without over-engineering.
You communicate clearly across technical and non-technical teams.
Fluent in English; German is a strong plus, as our Swiss operational teams work in German.
You want a pure CRM admin role with no building, scripting, or integration work.
You want to write code all day and stay out of the business and operational side.
You need fully defined requirements and a finished roadmap before you can move.
You prefer to stay away from the day-to-day reality of operations.
You lean on engineers for every technical decision instead of owning the call yourself.
