As part of a growing and dynamic Commercial Portfolio Management team, the Commercial Mortgage Coordinator is responsible for maintaining and updating management and portfolio pipeline reports as well as assisting team members with the day-to-day administration and management of the CFG book of loans. Duties include assisting Account Managers, Associate, and Analysts in communicating with clients regarding status of mortgages, coordinating the collection of documents required to complete renewals, modifications, annual reviews, etc., and administering renewals/modifications/annual reviews on PPlus. The Commercial Mortgage Coordinator will also help to ensure that files are AML (Anti-Money Laundering) compliant and assist with monthly/quarter-end reporting requirements
- On a monthly basis, the incumbent is responsible for the preparation, maintenance, and distribution of the Construction Progress Report. The incumbent will coordinate with Account Managers, Analysts, Servicers, and other internal and external stakeholders to obtain updated project information, validate the accuracy and completeness of all report inputs, and ensure reporting deadlines are met. The incumbent will assume end-to-end ownership of the reporting process and produce a high-quality report suitable for circulation to Risk Management with minimal revisions or findings (25%)
- On a daily basis, the incumbent will work closely with the Account Managers in the administration of the loan book. The incumbent will be required to generate pricing quotes, request due diligence materials, and assist in the review of same. The incumbent may assist with the follow up for any outstanding conditions precedent to renewal/annual review, including AML documentation review, and follow up for mortgage payouts for those accounts that are not being renewed (15%).
- On a daily basis, the incumbent is responsible for processing all mortgage renewals, extensions, annual review, and other loan detail changes on PPlus. The incumbent will assist with the tracking of conditions precedent to renewals and will work with team members to ensure AML guidelines are being met. The incumbent will ensure that all conditions are signed off by the underwriter or appropriate approval authority prior to administering a renewal/extension/annual review on PPlusOn a daily basis, the incumbent will communicate with internal contacts (managers, administrators, account managers and originators) and external contacts (clients, Partners, etc.) to ensure transactions are processed in a timely and efficient manner in order to deliver superior customer service (30%).
- On a daily basis, the incumbent will be responsible for updating renewal/annual review pipeline reports. The incumbent will be responsible for the preparation of specific departmental management reports for month/quarter-end that will be relied upon by Management. On an ad hoc basis, the incumbent will assist Analysts with the preparation and administration of construction loan sub advances during periods of elevated volume or resource constraints. The incumbent will support the collection and review of required documentation, data entry, reconciliation of advance calculations, and coordination with internal stakeholders to ensure timely processing of funding requests while maintaining compliance with established policies and procedures. (30%).
- OSSD diploma
- Post-secondary education is considered an asset
- 1-3 years of Commercial mortgage administration and credit experience is a definite asset
- Extensive working knowledge of MS Office (Word, Excel, Outlook, PowerPoint), Cyber Query and PPlus
- Ability to summarize/analyse raw data using excel (including VLOOKUPs, macros, pivot tables, and graphs) to generate clear and concise ad hoc reports for management use is a must

The position requires the incumbent to be a self-starter and make sound decisions as quickly and efficiently as possible.
The incumbent must understand “AML” guidelines in order to proactively resolve issues that may arise prior to renewal. Commercial mortgages can be complex in nature, requiring in depth reviews of documentation.
Understanding company guidelines and policies is critical with assisting the department in making sound lending decisions.
Independent analysis/transforming of raw data into clear, actionable reports using advanced Excel techniques support management decisions will be required.
