This is a high-impact opportunity to serve as the operational backbone of the school’s main office and play a critical role in shaping the daily experience for families, scholars, and staff. The Main Office Operations Associate will own front office operations, attendance systems, and student records management while ensuring a welcoming, responsive, and highly organized school environment.
In this role, you will have the opportunity to build trust with families through exceptional service, strengthen operational systems that support student success, and directly contribute to school-wide efficiency and compliance. You will also play a key role in identifying and improving office systems, ensuring that processes are not only executed with excellence but continuously refined.

- Serving as the primary point of contact for families, scholars, visitors, and staff in the main office
- Ensuring the front office operates as a welcoming, organized, and professional environment at all times
- Managing daily attendance processes within Alma SIS, including updates, corrections, and same-day reporting
- Monitoring attendance trends and escalating concerns related to chronic absenteeism to school leadership
- Maintaining accurate, confidential, and audit-ready student records in compliance with all requirements
- Coordinating family communication, including inquiries, schoolwide updates, and routine correspondence
- Responding to family and staff needs with urgency, professionalism, and a solutions-oriented approach
- Supporting translation and language-access needs to ensure equitable communication with families
- Managing office workflows, including filing systems, scheduling, supplies, and document organization
- Ensuring all administrative systems are organized, efficient, and consistently maintained
- Supporting planning and execution of school events, including family nights, conferences, testing, and enrollment events
- Assisting with enrollment operations, including document collection, onboarding support, and records processing
- Identifying operational inefficiencies and recommending improvements to office systems and workflows
- Resolving day-to-day operational and family-facing issues independently when appropriate
- Supporting office staff as needed and reinforcing consistent systems and procedures across the main office
- Ensuring compliance with all student recordkeeping, attendance, and operational documentation requirements
- High school diploma required; associate’s or bachelor’s degree preferred
- 2+ years of experience in administrative, operations, customer service, or school-based roles preferred
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Demonstrated ability to take initiative and solve problems independently
- Excellent written and verbal communication skills
- Strong customer service mindset with a focus on professionalism and relationship-building
- Ability to remain calm, responsive, and solutions-oriented under pressure
- High level of accuracy and attention to detail, especially with data and documentation
- Experience handling confidential information with discretion and integrity
- Proficiency in Microsoft Office and comfort learning new systems (Alma SIS preferred)
- Ability to work independently while maintaining strong accountability to deadlines and systems
