Responsibilities
~1 min readThe Manager, SBA Loan Operations is responsible for leading and overseeing all aspects of SBA loan operations, ensuring efficiency, compliance, and high-quality service delivery. This role manages daily departmental functions, supervises staff, drives process improvements, and ensures adherence to SBA Standard Operating Procedures (SOPs), regulatory requirements, and internal policies. The Manager also plays a key role in staff development, reporting, and cross-functional coordination.

- Leadership & People Management
- Lead, supervise, and support Loan Operations Specialists and department staff across all functional areas.
- Conduct performance management activities including annual reviews, coaching, disciplinary actions, and career development planning.
- Recruit, interview, hire, and train new team members.
- Develop a highly cross-trained team through effective delegation, training, and communication.
- Establish and manage work schedules and daily workflow to ensure operational efficiency.
- Operational Management
- Oversee SBA loan boarding, servicing, payment processing, and reporting activities.
- Review loan boarding and file maintenance reports for accuracy, completeness, and compliance.
- Maintain and monitor tickler systems for UCC filings, renewals, insurance tracking, and other critical deadlines.
- Ensure proper organization of departmental workflows and effective allocation of resources.
- Customer Service & Issue Resolution
- Promote and model superior customer service standards.
- Conduct regular staff meetings and training sessions related to operational processes and service expectations.
- Resolve complex customer inquiries, loan servicing issues, and operational challenges.
- Serve as a point of escalation for borrowers, internal staff, and external stakeholders.
- Systems & Technology Oversight
- Maintain advanced proficiency in PCFS/Loan Manager and SBA CAFS/E-TRAN systems.
- Partner with IT and technology teams to optimize system functionality and identify enhancements.
- Ensure accurate and timely input of loan data across all systems.
- Provide guidance to staff on system usage and resolve minor technical issues.
- Compliance & Risk Management
- Ensure compliance with SBA SOPs, USDA regulations, and all applicable federal and state laws, including BSA and AML requirements.
- Enforce internal lending policies, procedures, and audit controls.
- Safeguard credit union assets, loan collateral, and sensitive customer information.
- Monitor staff performance to ensure adherence to documentation and data integrity standards.
- Policy & Documentation Management
- Develop, update, and implement policies and procedures aligned with SBA guidelines.
- Manage and maintain documentation templates, checklists, and departmental procedures.
- Ensure all loan files and departmental records are accurate, complete, and audit-ready.
- Reporting, Projects & Analysis
- Prepare and analyze operational reports for senior management, auditors, and regulatory reviews.
- Lead or support special projects, process improvement initiatives, and system enhancements.
- Use data insights to improve departmental performance and service delivery.
- Collaboration & Communication
- Coordinate with internal departments to support lending operations and resolve issues.
- Participate in internal committees and strategic initiatives as assigned by senior leadership.
- Communicate effectively with employees, management, borrowers, and external partners.
- General Responsibilities
- Operate systems to process transactions, review account activity, and resolve discrepancies.
- Handle inbound communications and direct inquiries appropriately.
- Maintain current knowledge of SBA SOPs, USDA regulations, and industry best practices through ongoing education.
- Perform additional duties as assigned by the Vice President, SBA Operations.
- Associate’s degree in finance, business administration, or related field required or equivalent work experience.
- 7+ years of experience with SBA or related area.
- 3+ years of supervisory experience
- Advanced knowledge of SBA processing documentation/operations and leadership, products and services; related state and federal laws and regulations, and other Credit union operational policies and procedures.
- Excellent organizational and time management skills – ability to work with minimal supervision.
- Intermediate skills in computer terminal and personal computer operation; mainframe computer system; word processing, spreadsheet and specialty software programs.
- Exceptional verbal, written and interpersonal communication skills with the ability to carry out instructions.
- Ability to work in a fast-paced environment while maintaining a high level of accuracy.
The estimated salary for this role is $106,391.00 to $127,669.00 annually.
