What you’ll do… The Facilities Manager serves as the primary point of contact for all facilities and equipment maintenance across a multi‑state portfolio of dental offices. This role is responsible for end‑to‑end vendor and work order management, helping ensure safe, reliable, and cost‑effective operations that support our patients and teams. This position works closely with office teams, regional leadership, Real Estate, IT, and the other Facilities Manager and does not have direct reports. Dental or healthcare experience is highly preferred. This is a remote position; however, candidates will preferably reside in one of the following states: Michigan, Ohio, New Jersey or Massachusetts.  What you’ll bring to the team…  Manage and vet incoming work orders, ensuring requests are legitimate, prioritized appropriately, and routed to the right vendor or resource. Oversee vendors and work orders across multiple states, tracking progress from creation through completion and ensuring timely, high‑quality work. Partner with office teams to clearly identify the source of issues and limit disruption to office operations and patient care. Maintain office uptime by managing to established KPIs, best‑demonstrated practices, and service‑level agreements. Coordinate and document work for general repairs and maintenance, including plumbing, electrical, carpentry, pest control, janitorial, signage, dental equipment, HVAC, masonry, and furniture repair. Serve as the focal point for building and dental equipment emergencies, ensuring rapid response and clear communication among offices, leadership, and vendors. Organize, schedule, and document all work activities; review progress and ensure timely completion with proper records. Obtain proposals and quotes, compare options, and negotiate with vendors to secure best value while maintaining quality and speed. Participate in and support planning and execution for construction, affiliations, office refreshes, relocations, and closures, in partnership with Real Estate and IT. Coordinate with the Facilities Compliance Manager to ensure facilities meet all applicable AHJ and regulatory requirements. Make technical decisions regarding repair versus replacement, scope of work, and vendor recommendations to support uptime, safety, and cost control. Maintain flexibility to respond outside of standard business hours, including evenings and weekends, when urgent facilities or equipment issues arise.   What we require you have… Proven experience in maintenance and facilities management roles, ideally supporting multiple locations or states. Strong understanding of preventive and predictive maintenance processes and related metrics. Knowledge of safety regulations and compliance requirements; healthcare or dental experience is a significant plus. Broad understanding of key trades (mechanical, electrical, plumbing, HVAC) and familiarity with dental equipment and building systems. Demonstrated ability to collaborate effectively with cross‑functional teams, including Operations, Real Estate, IT, and Compliance. Excellent communication and interpersonal skills, with the ability to convey technical issues in clear, simple terms. Strong vendor management skills, including performance management and negotiation across multiple markets. Ability to work independently, manage multiple responsibilities simultaneously, and remain calm and responsive under time pressure. Familiarity with maintenance management systems and comfort using reports and dashboards to manage workload.
