Geotab is seeking a Field Services Coordinator who will orchestrate installation projects across Europe, ensuring the deployment of Geotab solutions meets the highest technical and customer service standards. Based in Madrid, you’ll be the go-to person for scheduling and managing installations across Spain, the UK, and Italy — coordinating between customers, sales, and a network of installers to keep everything running smoothly. Responsibilities

As a Field Services Coordinator, your key area of responsibility will be managing end-to-end installation projects of varying scale and complexity, from single-vehicle deployments to large fleet rollouts. You will be responsible for reviewing and processing work orders received through Salesforce, awarding projects to internal or third-party installers, setting clear timelines, and holding all parties accountable to those commitments. You will act as the central point of contact between customers and installers — resolving issues, communicating installation requirements, and ensuring everything is delivered on time and in accordance with Geotab’s standards. You will also review and approve invoices and installation reports, liaise with accounting for customer billing, and prepare periodic status reports to support global field services initiatives.

To be successful in this role you will be a self-starter who takes initiative and works independently, with the confidence to manage difficult conversations with installers, customers, and sales professionals alike. In addition, the successful candidate will have strong organizational skills to juggle multiple projects simultaneously, meticulous attention to detail, and the communication fluency — in both English and Spanish — to work effectively across a geographically diverse team.

  • Manage installation projects of various sizes and complexities and ensure deliverables meet customer requirements.
  • Award projects to internal and/or third party installers; set time-line expectations and ensure they are met.
  • Work with customers, sales professionals and installers to ensure installation requirements are understood, priced correctly, delivered on time and in accordance to company standards.
  • Act as a liaison between the customer and installer. Resolve their issues and concerns, escalate as necessary.
  • Ensure the installation guides, instructions and other important information are communicated to the installers.
  • Troubleshoot challenges installers are having in the field and escalate as necessary.
  • Work with installers to ensure they understand and use the Field Services department price list and tools for installation services.
  • Maintain the installer network database by keeping the database current.
  • Review and approve invoices and installation reports; ensure installation charges are in line with the company expectation.
  • Work with installers to resolve incorrect invoices.
  • Ensure the installers are paid for their services within agreed upon time period and assist installers with payment related questions.
  • Work with accounting to ensure our customers are billed for on-site field services.
  • Confirm the installation reports are received by the customers and installers.
  • Prepare periodic Field Services status reports.
  • Support Geotab global strategic initiatives.
  • Diploma or degree in business administration, industrial management, or a related field, or equivalent combination of education and work experience.
  • Experience managing third-party contractor relationships and outstanding customer service skills.
  • Strong written and verbal communication skills; confident on phone and email.
  • Experience troubleshooting technical issues.
  • Experience working with Salesforce.
  • Proficiency in Google Suite for business (Sheets, Docs, Slides).
  • Fluency in English and Spanish (required); additional European language (French, Italian, German, etc.) is a strong asset.
  • Familiarity with AI tools and technologies is an asset.
  • Experience working within a technical or engineering organization, or knowledge of the high-technology industry, is an asset.
  • Highly organized with the ability to manage multiple projects simultaneously.
  • Ability to work independently, take initiative, and thrive in a fast-paced, geographically diverse environment.
