The Interventional Psychiatry (IP) Technicianposition provides clinical administrative and patient support in Headlight’s outpatient esketamine program. We are looking for someone to serve as a key partner in the patient care journey within Headlights' Interventional Psychiatry program, providing compassionate clinical, administrative, and patient-centered support throughout the treatment experience. This role acts as a consistent point of contact for patients, helping guide them through ongoing treatment by coordinating care, facilitating communication, and ensuring a welcoming and supportive environment. 

The IP Technician collaborates closely with patients, providers, and interdisciplinary team members to promote a seamless treatment experience, address patient needs, and support adherence to treatment plans. Through proactive engagement, education, scheduling coordination, and clinical administrative support, this position plays an integral role in enhancing patient outcomes and fostering trust during each stage of the esketamine treatment journey. This role is based on-site at Headlight's outpatient clinic in Carlsbad, California.

    • Prepare treatment rooms and equipment for esketamine and TMS appointments, confirm that required supplies are available, and help ensure each session begins on time. 

    • Welcome patients, review treatment-day expectations, and provide clear, compassionate education throughout the course of care. 

    • Support patients during treatment by following established clinical protocols, monitoring their status, and promptly communicating concerns or changes to the appropriate provider. 

    • Document treatment activities, patient observations, communications, and follow-up needs accurately and promptly in the electronic health record. 

    • Serve as a consistent point of contact for patients by answering non-clinical questions, reinforcing provider instructions, addressing barriers to attendance, and escalating clinical questions appropriately. 

    • Coordinate appointments, reminders, transportation-related requirements, and other treatment logistics to support continuity of care and adherence to the treatment plan. 

    • Collaborate with prescribing providers, pharmacies, and interdisciplinary care teams to communicate scheduling updates, medication needs, patient concerns, and treatment progress. 

    • Order prescribed medications, monitor shipment status, receive deliveries, maintain inventory records, and follow all storage, handling, and reconciliation procedures. 

    • Maintain accurate REMS documentation, DEA-related records, medication logs, and inventory controls, and assist with audits and other compliance activities. 

    • Help maintain a clean, organized, safe, and welcoming treatment environment that supports patient comfort, privacy, and confidentiality. 

    • Support daily clinic operations, including phone coverage, patient communications, supply management, and coordination with front-office and clinical team members. 

    • Identify opportunities to improve workflows and the patient experience, participate in team initiatives, and perform other duties as assigned. 

    • High school diploma or equivalent required. 

    • Professionalism, integrity, and discretion with confidential information. 

    • Excellent verbal and written communication skills. 

    • Excellent organizational skills and attention to detail. 

    • Excellent time management skills with a proven ability to meet deadlines. 

    • Two or more years of healthcare, behavioral health, mental health, or patient-care experience. 

    • Current BLS, First Aid, CPR, and AED certification, or ability to obtain within 90 days of hire. 

    • Medical Assistant, CNA, Medication Technician, or comparable healthcare training or certification preferred. 

    • Experience with psychiatric or behavioral health, outpatient infusion, ketamine/esketamine, specialty medications, EHR systems, or REMS programs preferred. 

    • Associate degree or higher in healthcare administration, psychology, behavioral health, nursing, or related field preferred.
