Student Services Coordinator – Fixed term (Portuguese speaker)
ILSC & Greystone College Australia, part of the ILSC Education Group, is a private language and career college with campuses in Perth, Adelaide, Melbourne, Sydney and Brisbane, as well as in Canada and India.
This varied and challenging position is open at our Perth Campus on a fixed-term basis and offers opportunities for growth and development within the international education industry. The Student Services Coordinator support all student nationalities with special attention to Portuguese speakers, reports to the Student Services Manager and is responsible for a variety of functions, such as:
Student Advising Duties
- Supporting students by advising on aspects such as cultural acclimatization and school-related enquiries
- Supporting students and agents by answering phone calls, responding to questions about current student status and providing course information
- Supporting student accommodation requests (i.e. Homestay and student residence)
- Acting as a point of contact for walk-in students, including school tours for them and Agents, ensuring successful conversion.
- Providing a special duty of care for underage students with regular check-ins
- Facilitating student program extensions
- Helping students with questions and problems and/or leading them to the correct department
- Monitor and follow up on any detractor comments left in CRM systems related to the Student Services Team or student experience to ensure they are addressed in a timely manner.
- Assisting the student services manager and academic director with assigned tasks, such as setting up and joining special meetings with students during their first or last week of studies to follow up on their experience and get their feedback.
- Attending general staff and team meetings and training sessions assigned.
Community Engagement Duties
- Support students in accessing and effectively using ILSC platforms and services, including MyILSC, Microsoft 365, and Sonder.
- Collaborate with the Student and Community Outreach team and Activities Coordinators to deliver engaging on-campus and off-campus events.
- Liaise with internal departments to ensure the smooth planning, coordination, and execution of student activities and events.
- Actively promote and encourage student participation in school-wide events and initiatives.
- Inspire and support students in exploring their interests and goals related to social, civic, environmental, and charitable engagement.
- Identify and build partnerships with meaningful community initiatives and organisations that align with ILSC’s mission and core values.
- Foster inclusive participation by encouraging involvement from a diverse student body and staff across all events.
- Assist in the delivery of weekly Student Orientation sessions, Welcome Events, or Graduation ceremonies, as required.
- Undertake additional duties and special projects as assigned by the Student Services Manager.
Selection Criteria:
- Demonstrated experience in student services, community engagement, event coordination, or a related field.
- Strong interpersonal and cross-cultural communication skills, with the ability to engage and support a diverse international student population, especially with Portuguese speakers.
- Proven ability to plan, coordinate, and deliver events and activities, both on-campus and in the community.
- Ability to build and maintain effective relationships with internal teams, external partners, and community organisations.
- High level of organisational and time management skills, with the ability to manage multiple tasks and meet deadlines.
- Proactive approach, with the ability to work both independently and collaboratively within a team environment.
- Demonstrated ability to encourage participation and foster an inclusive, engaging, and positive student experience.
- Understanding of student wellbeing and support needs, particularly in an international education context.
- Confidence in using digital platforms and tools (e.g., Microsoft 365, apps, communication systems).
- Flexibility to work occasional evenings or weekends to support events and activities.
- A valid Working with Children Check (or ability to obtain one) and any other relevant compliance requirements.
Working Hours and working rights:
- This is a full-time position and has an immediate start.
- This position is a six-month fixed-term, based at the Perth Campus. Working-from-home arrangements will not be available.
- Our ordinary hours of work are between 7:30 am and 7:00 pm from Monday to Friday. Schedules will be discussed with the manager and must adhere to operational requirements.
- Working rights in Australia are required.
