Position Summary: The Clinical Services Coordinator provides comprehensive administrative and operational support to the Clinical Services Department and all interdisciplinary teams, including Care Management, Utilization Management, Social Work, Pharmacy, Education, and Population Health. This role functions as a key operational partner, supporting day-to-day departmental activities while assisting leadership with strategic initiatives, reporting, coordination, and project management.
The Clinical Services Coordinator serves as a central point of coordination for clinical and non-clinical team members, ensuring efficient communication, organized workflows, and timely execution of departmental priorities. This position requires a highly organized, proactive individual who is comfortable working in a fast-paced healthcare environment and capable of managing both administrative responsibilities and operational details.

Essential Position Functions/Responsibilities:
- Provide high-level administrative support to Clinical Services leadership and interdisciplinary teams
- Serve as a central point of contact for internal and external stakeholders across Clinical Services
- Manage calendars, schedule meetings, and coordinate interdisciplinary case conferences and committee meetings
- Prepare agendas, facilitate meetings as needed, capture meeting minutes, and track follow-up action items
- Coordinate departmental communications, announcements, and distribution lists
- Maintain department rosters, contact lists, and organizational charts
- Prepare correspondence, reports, presentations, spreadsheets, and other materials as requested
- Handle confidential and sensitive information with discretion and professionalism
- Support cross-functional initiatives and departmental projects across Clinical Services teams
- Assist with development and maintenance of workflows, policies, procedures, and standard operating documents
- Track project timelines, deliverables, and action items to ensure timely completion
- Maintain project tracking tools, dashboards, and documentation
- Assist leadership with strategic planning support and operational coordination
- Participate in special projects and departmental initiatives as assigned
- Provide administrative support for Care Management, Behavioral Health, Utilization Management, and other clinical teams
- Assist with coordination of case conferences, interdisciplinary team meetings, and program meetings
- Generate and distribute recurring reports including caseload reports, discharge reports, and program tracking reports
- Support documentation, tracking, and reporting requirements for clinical programs including SNP, chronic disease programs, and care management initiatives
- Assist with referral coordination and tracking for clinical services and community-based programs
- Support data entry and documentation within care management and clinical systems
- Generate recurring and ad hoc reports for Clinical Services leadership
- Assist with audit preparation, data collection, and documentation review
- Maintain electronic filing systems and document repositories
- Support policy and procedure updates and document management
- Track departmental metrics, deliverables, and reporting requirements
- Assist with regulatory and health plan reporting support
- Coordinate onboarding logistics for new Clinical Services staff
- Schedule training sessions and system orientations
- Assist with onboarding documentation and access coordination
- Support team scheduling and coverage coordination as needed
- Respond to routine and non-routine requests for information
- Coordinate telephone communications and follow-up requests
- Participates in special projects, process improvement initiatives, and departmental activities as assigned.
Qualification Requirements:

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint; Visio preferred)
- Experience with reporting tools and tracking systems preferred
- Familiarity with healthcare terminology and clinical operations preferred
Training/Education:
- High School diploma or equivalent required
- Associate's or Bachelor's degree in Healthcare Administration, Business, or related field preferred
- Business Technology or administrative training preferred
Experience:
- Minimum 2–5 years administrative experience required
- Experience supporting healthcare, clinical, or care management teams strongly preferred
- Experience supporting senior leadership or interdisciplinary teams preferred
- Experience with healthcare reporting, documentation, and project coordination preferred
