We’re growing quickly and looking for a Sr. Billing Specialist to strengthen the operational backbone of our Finance & Operations team by improving billing accuracy, revenue visibility, and scalable project financial processes. This role is critical to ensuring that project leads and partners have timely, reliable financial insight across the full project lifecycle – from demand planning and staffing through WIP management, revenue forecasting, invoicing, and reporting – as Keystone continues its next chapter of growth.


The Sr. Billing Specialist is a key member of the Finance & Operations team and serves as a strategic partner to project leads and partners throughout the full project lifecycle — from demand planning and staffing through revenue forecasting, invoicing, and reporting.

Responsibilities

  • Partner closely with project leads to actively manage monthly work-in-process (WIP).
  • Monitor and drive staff time entry compliance and data accuracy across projects.
  • Review WIP balances with project leadership to ensure alignment with project progress and billing expectations.
  • Update project forecasts including revenue projections, staffing plans, and delivery timelines.
  • Identify and proactively address risks related to utilization, billing delays, revenue recognition, or data inconsistencies.
  • Ensure project financial data across systems remains accurate and aligned.

 

  • Assist in the development of accurate monthly revenue forecasts across active engagements.
  • Analyze actuals versus forecast and provide insights on key variances.
  • Ensure revenue projections align with contractual terms, billing structures, and project mile
  • Support Finance leadership during monthly close by providing timely and reliable financial data.
  • Help strengthen forecasting methodologies as Keystone continues to scale its project portfolio.

  • Prepare detailed and accurate pro forma invoices in accordance with project terms and client requirements.
  • Partner with project leads and partners to review and finalize invoices.
  • Ensure invoices accurately reflect agreed pricing models, scope of work, and contractual obligations.
  • Manage the end-to-end invoice lifecycle including preparation, approval, delivery, and documentation.
  • Track invoice delivery and confirm client receipt to support timely collections.
  • Monitor accounts receivable and assist with follow-ups on outstanding invoices.
  • Maintain accurate and well-documented billing records across systems.
  • Prepare detailed and accurate pro forma invoices in accordance with project terms and client requirements.
  • Partner with project leads and partners to review and finalize invoices.
  • Ensure invoices accurately reflect agreed pricing models, scope of work, and contractual obligations.
  • Manage the end-to-end invoice lifecycle including preparation, approval, delivery, and documentation.
  • Track invoice delivery and confirm client receipt to support timely collections.
  • Monitor accounts receivable and assist with follow-ups on outstanding invoices.
  • Maintain accurate and well-documented billing records across systems.
  • Leverage enterprise systems and data platforms to improve operational efficiency and billing accuracy.
  • Identify opportunities to automate workflows and reduce manual processes through tools such as Power Automate, Tableau, and other automation platforms.
  • Collaborate with Finance, Operations, and Technology teams to improve system integrations and data flows across platforms including Salesforce and NetSuite.
  • Contribute to the design and development of dashboards and reporting tools that enhance financial visibility for partners and leadership.
  • Ensure operational processes leverage technology effectively to support growing project complexity and volume.

 


  • 5+ years of billing, revenue operations, or project finance experience within a professional services firm, such as consulting, law, accounting, or a similar environment.
  • Strong understanding of project-based billing structures, WIP management, and revenue recognition principles.
  • Experience partnering directly with project leads, partners, or senior stakeholders.
  • Experience supporting fast-paced, high-growth organizations where operational processes and systems are evolving.
  • Experience working with enterprise business systems such as Salesforce, NetSuite, or a comparable ERP platform.
  • Advanced proficiency in Microsoft Excel.
  • Experience working with data-driven operational environments and large project datasets.

 

Nice to Have

  • Experience building revenue forecasting models or capacity planning tools.
  • Experience with Microsoft Power Platform, including Power BI, Power Automate, or Power Apps.
  • Experience with Tableau or other data visualization tools.
  • Experience building or maintaining dashboards, reporting frameworks, or workflow automations.
  • Experience supporting system implementations, process redesign, or operational transformation initiatives.
  • Exposure to process improvement methodologies such as Lean, Six Sigma, or operational excellence frameworks.
