The Financial Systems & Billing Automation Specialist serves as the bridge between Billing Operations, Finance, Technology, and Project Leadership within a professional services organization operating primarily on a Time & Materials (T&M) business model.

This role combines hands-on billing support with financial systems expertise, data analytics, dashboard development, and AI-driven process automation. The specialist develops scalable reporting solutions, identifies operational inefficiencies, and creates working prototypes that streamline the entire project financial lifecycle—from project forecasting and staffing through time entry, work-in-process (WIP), invoicing, collections, and revenue reporting.

Success in this role requires understanding how billing actually works while continuously improving the technology and processes that support it.

Responsibilities

  • Perform billing functions for assigned client portfolios. Partnering with Project Leads to review and finalize invoices.  This includes reviewing consultant time entries for accuracy, completeness, and compliance with client billing requirements. Analyzing WIP balances and recommending billing actions, write-offs, deferrals, or adjustments.
  • Assist in resolving billing exceptions and client disputes.
  • Support month-end close activities and revenue reporting.
  • Serve as the subject matter expert on the firm's billing and financial systems.
  • Analyze current billing workflows and identify automation opportunities.
  • Evaluate system limitations and recommend enhancements.
  • Translate operational needs into functional system requirements.
  • Partner with Finance, IT, and Operations to improve financial processes.
  • Maintain documentation for workflows, business rules, and system configurations.

Design and maintain interactive Tableau dashboards that provide visibility into:

  • Revenue Forecasts
  • Consultant Utilization
  • Staffing Demand
  • Work in Process (WIP)
  • Billing Pipeline
  • Invoice Status
  • Revenue Leakage
  • Forecast Accuracy
  • Billing Cycle Time
  • Write-offs

Develop executive dashboards that enable leadership to quickly identify operational bottlenecks and revenue risks.

Identify repetitive financial and billing processes suitable for automation.

Leverage AI tools, scripting, and low-code platforms to rapidly prototype solutions that improve productivity and data quality.

Examples include:

  • AI validation of consultant time entries against client-specific billing rules.
  • Automated review of narrative descriptions for billing compliance.
  • Identification of duplicate or inconsistent time entries.
  • Detection of billing anomalies before invoice generation.
  • Automated WIP review recommendations.
  • AI-generated billing summaries for Project Leads.
  • Automated identification of projects at risk for delayed billing.

Develop proof-of-concept solutions that can be evaluated by Finance and IT before enterprise implementation.

Continuously evaluate the Forecast-to-Cash lifecycle:

Forecast → Staffing → Time Entry → WIP → Billing → Collections → Cash

Recommend improvements that reduce manual effort while improving accuracy, visibility, and scalability.

Lead small automation initiatives from concept through prototype.

Requirements

Bachelor's degree in Finance, Accounting, Information Systems, Business Analytics, Computer Science, or a related discipline.

  • 3–7 years supporting financial operations, billing operations, revenue operations, or financial systems within a professional services organization.
  • Experience working with Time & Materials billing.
  • Experience creating Tableau dashboards and business intelligence reporting.
  • Experience identifying and implementing process improvements.
  • Familiarity with AI-assisted productivity tools and workflow automation.

Preferred experience with:

  • NetSuite
  • Salesforce
  • Professional Services Automation (PSA) platforms
  • Tableau (advanced)
  • Power BI
  • SQL
  • Excel (Power Query, Power Pivot)
  • Data visualization

Experience with tools such as:

  • Microsoft Power Automate
  • Power Apps
  • AI copilots and generative AI platforms
  • Python or SQL scripting (preferred)
  • REST APIs (preferred)
  • Workflow automation platforms

Understands the operational realities of professional services billing and can identify opportunities to improve quality and efficiency.

Sees the entire Forecast-to-Cash process as an integrated system and understands how upstream decisions affect downstream financial outcomes.

Looks beyond manual work to identify opportunities for automation, standardization, and AI-assisted decision-making.

Transforms complex financial data into meaningful dashboards and actionable insights for leadership.

Challenges existing processes and develops innovative solutions that reduce manual effort and improve operational performance.

 

In addition to annual salary, we provide an annual discretionary bonus, 401k contribution, and competitive benefits package. Actual Compensation within the range will depend upon the level the individual is hired into based on their skills, experience, and qualifications.

$100,000$120,000 USD
