We are seeking a Parts and Service Administrator to support the day-to-day operations of our St. Anthony branch. This is a hands-on role that combines warehouse operations, inventory management, parts support, and service administration. The ideal candidate is organized, dependable, detail-oriented, and comfortable working independently while managing a variety of responsibilities.
The Parts and Service Administrator is responsible for supporting the daily operations of the branch, including inventory management, shipping and receiving, parts order processing, service administration, and general operational support. This position plays an important role in maintaining accurate inventory, fulfilling customer orders, supporting service activities, and ensuring the facility operates efficiently.
This role requires someone who is self-motivated, organized, and capable of working independently while balancing warehouse, administrative, and customer support responsibilities.
- Receive, inspect, stock, and organize incoming inventory.
- Pick, package, and ship customer and company orders accurately and efficiently.
- Maintain accurate inventory records and perform cycle counts.
- Coordinate freight shipments, deliveries, and branch transfers.
- Maintain a clean, organized, and safe warehouse environment.
- Operate forklifts and other material handling equipment as required.
- Process customer parts inquiries and orders by phone, email, and in person.
- Provide pricing, availability, and order status information to customers.
- Source parts and assist with order fulfillment activities.
- Support technicians and sales personnel with parts needs and inventory information.
- Maintain accurate records of orders, quotes, and related transactions.
- Open, maintain, and close service work orders.
- Assist with service scheduling and documentation.
- Process service invoices and maintain service records.
- Support warranty claims and other service-related administrative functions.
- Maintain accurate service files and department records.
- Utilize company ERP systems to process transactions and maintain records.
- Assist with branch organization, documentation, and operational tasks as needed.
- Identify and resolve day-to-day operational issues.
- Follow company policies, procedures, and safety requirements.
- Contribute to a positive, team-oriented work environment.
Requirements

- High school diploma or equivalent required.
- Experience in warehouse operations, inventory control, parts sales, customer service, or a related field preferred.
- Strong organizational, communication, and problem-solving skills.
- Ability to work independently and manage multiple priorities.
- Computer proficiency and valid driver's license required.
- Combination of office, warehouse, and yard environments.
- Ability to safely lift up to 50 pounds and operate warehouse equipment.
