The Design Coordinator in our Brand Team plays a key role in supporting the effective delivery of design services across the firm and enabling access to the firm's research and insights resources. Working closely with the Design Team Lead, you will coordinate incoming design requests, manage workflows and priorities, and maintain accurate project information to ensure work is delivered on time and on brand. You will also act as a key point of contact for the firm's research and insights resources, helping stakeholders access and use relevant information, tools and resources, while providing limited administrative support to the wider Brand Team as required.

  • Manage incoming design requests through the Design Team inbox, ensuring each request is responded to in a timely manner.
  • Coordinate the day-to-day flow of design work, assigning requests to team members based on priorities, deadlines and team capacity.
  • Keep project information, deadlines and status updates accurate and up to date within Monday.com.
  • Work closely with the Design Team Lead to monitor workload, flag competing priorities and help keep projects moving.
  • Schedule design briefings, team meetings and other project-related meetings as required.
  • Build and maintain relationships with external providers, including printers, photographers and other suppliers as required.
  • Maintain organised design folders, resources and project documentation so information is easy to find, use and manage.
  • Support stakeholders in using the firm’s research and insights tools and accessing relevant information.
  • Assist the wider Brand Team with general administration, including internal brand content, tools and resources.
  • Identify opportunities to improve team processes, streamline workflows and enhance the stakeholder experience, including through AI, automation and digital tools.
    • Around 3 years’ experience in an administration or coordination role, ideally within a corporate or professional services environment.
    • Highly organised, with strong attention to detail and the ability to manage competing priorities and deadlines.
    • A confident communicator who can build positive working relationships with a wide range of stakeholders.
    • Comfortable managing inboxes, workflow tools, shared folders and multiple systems or processes.
    • Proactive in identifying opportunities to improve processes and ways of working.
    • A strong problem solver who takes a structured and methodical approach.
    • Customer-focused and team-oriented, with a commitment to providing responsive, high-quality support.
    • Comfortable working independently while being part of a collaborative team.
