- Serve as the first point of contact for visitors, guests, and employees.
- Greet and check in visitors; manage badges and ensure compliance with onsite protocols.
- Answer and route phone calls and respond to general inquiries.
- Maintain office cleanliness, organization, and readiness for daily operations.
- Monitor and restock office supplies, snacks, equipment, and materials.
- Coordinate vendor services (cleaning, maintenance, deliveries, etc.).
- Oversee incoming/outgoing mail, packages, and courier shipments.
- Assist with scheduling onsite meetings, conference rooms, and team events.
- Prepare meeting materials, agendas, and light note‑taking when required.
- Support executives and team leads with general administrative tasks.
- Process invoices, purchasing requests, and office‑related expenses.
- Serve as the point of contact for facilities issues (IT tickets, building services, repairs).
- Ensure compliance with health, safety, and security protocols.
- Help coordinate onsite trainings, leadership visits, and employee engagement activities.
- Assist with onboarding logistics for new hires (badges, seating, equipment setup).
- Foster a positive and helpful environment for employees working onsite.
- 1–3 years of experience in reception, office coordination, or customer‑facing administrative work.
- Experience in healthcare, health tech, or regulated environments preferred (not required).
- Strong communication and interpersonal skills; polished, friendly, and professional.
- Highly organized with strong attention to detail and ability to multitask.
- Comfortable using Microsoft Office, Google Workspace, and modern office tools.Able to work 100% onsite in Dallas, TX.
