Responsibilities

  • Support the onboarding and integration of new team members into office processes and serve as onsite resource and mentor.
  • Ensure established end-of-day processes are completed accurately and provide required daily and weekly reporting to the Regional Administrative Manager.
  • Complete weekly bank deposits in accordance with established procedures.
  • Partner with the Regional Administrative Manager and other office Leads to support appropriate staffing coverage and coordinate PTO requests.
  • Assist the Regional Administrative Manager with the implementation and communication of new initiatives, processes, and operational changes.
  • Help identify and troubleshoot day-to-day office concerns, including equipment, technology, and workflow issues, and escalate matters as appropriate.
  • Help maintain efficient patient flow and office operations by identifying needs and coordinating resources throughout the day.
  • Assist with patient financial discussions when appropriate based on the Team Lead's primary role and responsibilities.
  • Serve as an accessible onsite resource for team members and help reinforce established office processes, expectations, and workflows.
  • Partner with the Regional Administrative Manager by providing timely, objective observations and feedback regarding team performance, training needs, and operational concerns.
  • Support and mentor team members while encouraging collaboration, accountability, and effective communication.
  • Help identify opportunities for additional training, coaching, or process improvement and communicate those needs to the Regional Administrative Manager.
  • Support team engagement efforts, including coordinating office celebrations and recognition activities that contribute to a positive work environment.
  • Escalate employee relations, performance, attendance, or other significant personnel matters to the Regional Administrative Manager and/or Human Resources as appropriate.
  • Serve as a liaison between the office team and the Regional Administrative Manager, helping ensure timely and consistent communication.
  • Model professionalism, accountability, reliability, teamwork, and effective communication.
  • Lead daily team huddles focused on prior-day performance, preparedness for the current day, patient flow, and team coordination.
  • Prepare a weekly update for the Regional Administrative Manager summarizing office performance, accomplishments, operational challenges, and upcoming priorities.
  • Coordinate monthly staff meetings in partnership with the surgeon and Regional Administrative Manager to review office priorities, discuss initiatives, gather team feedback, and support ongoing communication.
  • Review meeting agendas with the Regional Administrative Manager in advance and distribute an appropriate follow-up summary within 48 hours of the meeting.

Requirements

  • High school diploma or equivalent required.
  • Current MAX employee in good standing.
  • Two (2) years of experience with MAX preferred.
  • Demonstrated success in a Surgical Assistant, Treatment Coordinator, Patient Care Coordinator, or comparable practice-based role.
  • Strong knowledge of dental and/or oral surgery office operations and patient workflows.
  • Ability to communicate procedures, processes, and expectations clearly and professionally.
  • Strong interpersonal, customer service, and conflict-resolution skills.
  • Demonstrated ability to build positive working relationships and influence others without relying on formal supervisory authority.
  • Strong organizational, prioritization, and problem-solving skills.
  • Ability to take initiative, exercise sound judgment, and work independently while remaining collaborative and team focused.
  • Comfort working with practice management systems, scheduling processes, financial workflows, and applicable procedure/ADA codes.
  • Demonstrated reliability, accountability, professionalism, and discretion.
  • Ability to effectively balance the responsibilities of the employee's primary position with the additional responsibilities of the Team Lead role.

The Team Lead position is a dual-role assignment and does not replace the employee's responsibilities in their primary position. The Team Lead works in partnership with and under the direction of the Regional Administrative Manager.

Final selection will be based on the qualifications of the candidates and the operational needs of the office.

Employees selected for the Team Lead role will receive an additional stipend in recognition of the added leadership and operational responsibilities associated with the role. The stipend is paid in addition to the employee’s regular rate for their primary Surgical Assistant, Treatment Coordinator, or Patient Care Coordinator position.
