Job Title: IT Project Coordinator
Reports To: Sr. IT Programs Manager
FLSA Status: Exempt
Location: Phoenix, AZ Office
Summary:
The IT Infrastructure Project Coordinator supports the planning and execution of infrastructure and operations projects across the organization. This role partners closely with Senior Project Managers, technical teams, and third-party vendors to ensure projects are delivered on time, within scope, and aligned to business objectives. This position is ideal for someone who is highly organized, detail-oriented, and looking to grow into a Project Manager role.
Essential Duties and Responsibilities:
Project Coordination & Delivery
• Support end-to-end delivery of IT infrastructure and construction-related projects, including planning, execution, monitoring, operations, and project closeout
• Coordinate project activities across internal teams, operating companies, vendors, contractors, third-party partners, and cross-functional trades
• Assist senior Project Managers in managing project workflows and executing projects according to established methodologies and playbooks
• Ensure accountability for project timelines, deliverables, and stakeholder commitments to ensure successful project completion
• Develop mitigation and remediation plans to address project challenges and minimize delivery risks
Project Planning & Scheduling
• Assist in defining project scope, objectives, deliverables, schedules, and success criteria
• Develop detailed project plans, task lists, schedules, and execution timelines for infrastructure and construction initiatives
• Coordinate meetings, onsite visits, project walkthroughs, and estimation activities
• Prepare weekly project status updates and track progress against milestones and deadlines
• Support resource coordination and planning activities to align staffing and project needs
• Identify, assess, and track project risks, issues, dependencies, scope changes, and schedule impacts
• Provide recommendations for improving project management playbooks, processes, and operational efficiencies
Stakeholder & Communication Management
• Work closely with experienced Project Managers to understand stakeholder priorities, business needs, and communication strategies
• Provide regular project updates and status reporting to leadership, stakeholders, and project teams
• Facilitate project meetings, document meeting notes, capture action items, and ensure follow-through on assigned deliverables
• Coordinate communication and documentation between multiple trades, vendors, and departments to maintain project alignment
• Escalate unresolved or high-priority risks and issues to senior stakeholders as needed
Documentation & Tracking
• Develop and maintain project documentation, execution plans, schedules, status reports, and tracking tools
• Design and organize project documents to support execution, compliance, and operational readiness
• Collect, organize, and maintain documentation from vendors, contractors, and various project trades
• Document project outcomes, decisions, and lessons learned to support continuous process improvement
• Assist with project cost tracking, billing coordination, and development of project cost profiles
Other Duties
• Regular, consistent and necessary to meet the needs of the business
• Assists the leadership team and other team members with various research projects and/or special projects
• Performs other duties and responsibilities as assigned
• Must conduct self in an ethical, legal, and responsible manner at all times
• Must adhere to the policies, principles, and guidance within the Employee Handbook and Code of Conduct
Education/Experience:
• Associate’s degree in information technology, Engineering, or related field, or 1+ years of experience supporting or coordinating Construction or IT projects (preferred)
• Familiarity with project management methodologies (Agile, Kanban, Hybrid, Waterfall)
• Strong organizational and documentation skills
• Experience gathering and documenting business and technical requirements
• Excellent communication and stakeholder coordination skills
• CAPM, PMP, or PRINCE2 certification is preferred
• Experience working with cross-functional and distributed teams is preferred
• Exposure to IT infrastructure, networking, cloud systems, or construction projects are nice to have.
• Must be proficient in the Microsoft Office Suite, including Outlook, Excel, PowerPoint and Word

The workplace is in a corporate office environment and the temperature in the work environment is usually moderate. The position’s primary office is the Phoenix, AZ office; however, telework or work at home, on the road, or in a satellite location for portions of the workweek may occur, depending upon project needs and requirements in coordination with your direct supervisor and/or most senior leader of your department. Occasional travel may be required.

Salary ranges listed are dependent upon a candidate’s qualifications, experience, internal equity, and the budgeted amount for the specific role and location.
