Education Abroad Coordinator for Academic Records and Curriculum Integration

The coordination of academic records for direct-enroll, exchange, and provider programs is facilitated through the Office for Education Abroad (EA). The Education Abroad Coordinator for Academic Records and Curriculum Integration, assumes primary responsibility for managing this process from students’ pre-program Course Approval Form completion to the articulation of credits earned abroad for their MSU transcripts. The Education Abroad Coordinator for Academic Records and Curriculum Integration is responsible for providing students guidance throughout this process; collaborating with colleagues in the office and across campus to coordinate the process; serving as the office’s main liaison to the Office of the Registrar; and maintaining and enhancing the related systems and processes. This position is responsible for the enrollment management of exchange/direct enroll/provider programs in the carrier course credits. This position will develop, implement, maintain, and promote education abroad curriculum integration initiatives, with the goal to develop major-specific advising resources to assist students in selecting a program, and faculty and staff in advising and guiding students interested in pursuing education abroad.

Responsibilities

Academic Records Liaison (10%)

  • Serve in a liaison capacity to MSU academic colleges, campus administrative units, units within International Studies and Programs, and affiliated provider organizations regarding students’ academic records
  • Represent education abroad academic records management on behalf of the Office for Education Abroad at Advisory Council for Education Abroad meetings, academic advisor meetings, and at related campus meetings, as needed

Student Advising & Support (20%)

  • Provide advising and support on the Course Approval process and related online documentation before, during, and after program participation
  • Provide advising and support on the post-program transcript articulation process

Management of Academic Records and Supporting Documentation (50%)

  • Work with academic units on collecting the academic “scopes” for direct-enroll, exchange, and provider programs and send the scopes to the Registrar’s Office
  • As needed, assist academic units with the development of Grade and Credit Conversion Charts
  • Serve as the Registrar’s Office main EA contact for updating documentation such as Scopes and Grade & Credit Conversion Charts
  • Enroll students in MSU carrier course credits
  • Manage the CAF system and daily process by working with academic units, students, and EA IT
  • Work with relevant college/department representatives as well as with EA IT on maintaining, troubleshooting, and improving the CAF system and process
  • Manage the CSP/CSX course enrollment process for students on direct-enroll, exchange, and provider programs
  • Match students’ CAFs to their foreign transcripts and conduct any required follow-up
  • Compile and submit transcript articulation packet to the Registrar’s Office
  • Work with the Registrar’s Office on troubleshooting problematic CAFs
  • Work with EA IT, academic units, and relevant EA staff on facilitating the further development and the maintenance of a central EA course equivalencies database
  • Provide related training to other EA staff as needed
  • Other duties as assigned

Resource and Materials Development (15%)

  • In collaboration with colleges and departments, develop curriculum integration resources, such as major advising pages, degree pathways, etc., based on college/department needs.
  • In collaboration with the Marketing and Communications team, develop and maintain a sustainable system for the development, dissemination and utilization of curriculum integration materials and resources
  • Periodically review materials for relevance, accuracy and utilization

Functional Support

  • Provide leadership and coordination of one or more critical focus areas/functions within the Office for Education Abroad (e.g., program evaluation, financial aid & scholarship advising and reporting, undergraduate research, etc.)
  • Provide support to the “American Semester Program” as needed

Professional Development

  • Contribute to the profession of education abroad and domestic study away, which may include attending regional, national, and international conferences each year as necessary/appropriate/ fiscally feasible
  • Contribute to the field of education abroad and domestic study away, which may include producing scholarly publications, conducting outcomes assessment research, etc.

Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a related field such as International Relations, Foreign Language, Area Studies, Communication, or Higher Education Administration; three to five years of related and progressively more responsible or expansive work in study abroad administration at a four-year college or university or at a study abroad organization; prior experience living, studying or working abroad in the location of the program; or an equivalent combination of education and experience

A master’s degree in a related field; experience living, working, or studying abroad; demonstrated excellent written and oral communication skills; proficiency in a language other than English. Three to five years of related and progressively more responsible or expansive work experience in an education abroad or related setting.
