Role Purpose

We are looking for a proactive, organised and hands-on Facilities Manager to lead the smooth day-to-day operation of our workplaces. This is a varied and visible role with genuine scope to shape workplace experience, support operational excellence and help create an environment where people can do their best work. The role carries primary accountability for Dublin and also supports management of the Plano office in partnership with colleagues and local stakeholders.

 

The successful candidate will manage building operations, workplace services, health and safety, vendor relationships, physical access, parking, mail handling and general facilities support. The role has primary accountability for Dublin, with shared oversight of Plano, Texas, working closely with colleagues and other stakeholders to support consistent, high-quality workplace operations. It is a broad and practical opportunity for someone who enjoys variety, takes pride in getting things done and wants to play a meaningful role in shaping a well-run, welcoming and professional office environment.

 

Key Responsibilities



Building Operations & Maintenance 

Manage the day-to-day operation of the office, including routine maintenance, repairs and inspections, to ensure the workplace remains safe, functional and well maintained. Build strong working relationships with landlords, building management and service providers, and coordinate operational issues, maintenance needs and planned works efficiently and effectively. 


Health, Safety & Compliance 

Lead workplace health and safety activity, including inspections, drills, safety checks and follow-up actions. Ensure the office environment remains compliant with relevant health and safety, fire and accessibility requirements, and that records and documentation are maintained appropriately. 


Vendor & Contractor Management 

Manage third-party vendors and contractors across facilities-related services, including cleaning, security, maintenance and other workplace support for our Dublin office and our US Office (based in Dallas). Monitor service delivery, resolve issues promptly, support contract renewals and help ensure quality, continuity and value for money across all key services. 


Budgeting 

Support the planning and management of facilities budgets, including day-to-day operational spend and planned improvements. Track costs, monitor expenditure and help ensure services are delivered efficiently and within budget. 


Space Planning 

Coordinate office moves, desk configurations, workplace layouts and refurbishments to support business needs and workplace efficiency. Help ensure that office space is used effectively and remains aligned to team requirements. 


Security & Emergency Preparedness 

Support physical security arrangements, visitor processes, access controls and emergency response planning. Help maintain evacuation procedures, access protocols and business continuity arrangements relating to workplace operations. 


Workplace Experience 

Respond to day-to-day facilities requests and help maintain a workplace that is welcoming, organised and productive. Oversee office supplies, amenities, catering, mail handling and general support services to deliver a positive day-to-day experience for employees and visitors alike. 


Physical Access Controls 

Partner with IT and other relevant stakeholders to oversee effective physical access control arrangements, including visitor access and workplace entry processes. Ensure access controls are administered securely, appropriately and in line with business and site requirements, supported by accurate records and periodic review. 


Parking Management 

Manage parking allocation, permits, employee vehicle records and related site access queries. Communicate parking rules clearly and help ensure parking operations run smoothly and fairly. 


Mail Handling 

Oversee incoming and outgoing mail and package handling, including sorting, distribution and dispatch. Maintain appropriate logs, courier arrangements and internal notification processes to support reliable delivery. 


Ancillary Enablement & Request Processes 

Coordinate ad hoc workplace support requests such as room set-up, catering and general facilities services through clear and efficient request processes. Help ensure requests are managed consistently and delivered to a high standard. 

 

About you

You will bring experience in facilities management, workplace operations or office management, together with a practical approach to problem-solving and a strong sense of ownership. You will be comfortable managing multiple priorities, working with external providers and responding quickly to operational issues as they arise. 


You will also have: 

  • Experience managing building operations, maintenance and workplace services 
  • Good knowledge of health and safety and workplace compliance requirements 
  • Strong vendor and contractor management skills 
  • Experience managing budgets, service delivery and day-to-day operational processes 
  • Strong organisational, communication and stakeholder management skills 
  • The ability to maintain accurate records and support effective, compliant workplace operations
