The Mission of the Clerk of Courts has a high degree of public accountability, regular attendance and punctuality is an essential function of this position.
Support and comply with the Mission Statement and Code of Conduct of the Clerk of Courts.
Maintain a high standard relating to professional conduct and behavior.
Work cooperatively with other employees of the work unit and embrace a teamwork approach to completing tasks.
Essential Tasks:
This department’s area of focus are: County Civil, Circuit Civil, Civil Traffic, County Criminal, Family Law, Official Records, Marriage, and Passports
Provide accurate, compassionate service to all customers and colleagues, whether in person, over the phone, or by email.
Accurately perform data entry and scanning to maintain records within multiple software programs to support seamless delivery of departmental services.
Input new and reopen cases, schedule hearings, and issue pleadings such as summons, subpoenas, notices, etc.
Prepare and process subsequent filings while updating court cases.
Fulfill records requests for court records and official records.
Validate civil infractions.
Perform record searches and reinstate driver’s licenses in CCIS when assisting customers with criminal and traffic related issues.
Learn and understand multiple applications related to the position.
Research information in multiple databases to provide customers with accurate information.
Cashier and process customer payments as well as balance and reconcile cash, checks, and credit cards with daily reports.
Interview and input required personal data for marriage applications, issue the licenses, and perform the ceremonies between eligible couples, as defined by or recognized under Florida state law.
Perform all stages of recording from processing incoming mail, reviewing documents for recording requirements, calculating taxes, inputting information on documents for recording, affixing required recording stamps, scanning all documents, processing them for quality checks and return to customers.
Review passport applications, determining proof of citizenship, obtaining proof of identity, collecting funds for passports and processing fees, and completing process of submitting applications for United States Passports.
Assist the public on the public view computers.
Ability to meet production standards while maintaining a high level of accuracy.
Maintain confidentiality of information learned or acquired as part of the position.
Assist with special projects as needed.
Adapt to a flexible schedule, and work overtime, as needed.
Perform other related work as required or assigned.

Minimum Skills / Qualifications:
- Graduate of an accredited high school or possess an acceptable equivalency diploma.
- Bilingual candidates are encouraged to apply.
- Ability to collaborate effectively with departmental teams and external agencies to prioritize workflows, organize tasks, and manage competing demands to ensure all deadlines are met.
- Ability to read, interpret, and follow safety rules, operating/maintenance instructions, procedure manuals, and write routine correspondence and reports.
- Proficiency in use of Microsoft Office.
- Ability to accurately type 35 WPM.
- Ability to maintain attention to detail and remain calm in an anxious, intense situation.
- Demonstrate strong professional communication skills in both oral and written form with the ability to read, write, and speak English fluently to effectively interact with colleagues and customers.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Demonstrate the ability to rapidly acquire or possess comprehensive knowledge of departmental procedures, overall operations, and workflows. Execute thorough research using provided resource materials to ensure strict compliance with Clerk policies, departmental guidelines, and Florida Statutes.
- Adapt to evolving operational requirements by applying Florida Statutes, departmental guidelines, Clerk policies, and the Clerk’s Mission Statement; demonstrate flexibility in implementing new policies and procedures while maintaining high performance amidst changing conditions.
- Being able to work in a constant state of alertness and safe manner.
- Ability to collaborate effectively with departmental teams and external agencies to prioritize workflows, organize tasks, and manage competing demands to ensure all deadlines are met.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Must be a U.S. citizen (required by the U.S. Department of State to process passport applications).
- External candidates must be able to pass an NCIC background check, drug screen, and physical exam.
- This position offers a six-month training period.
