You will serve as the operational backbone of the team: maintaining allocations, tracking utilization and billability, and producing the reporting that drives staffing decisions. You will also partner directly with business leaders and group leads on capacity planning, forecasting, and strategic resourcing across our creative and technology disciplines.

Key Responsibilities

Resourcing & Allocation

  • Partner with business leaders and resource management lead to understand the client engagements, SOWs, and funding that drive resource needs.
  • Own and maintain the accuracy of allocations and resourcing trackers, ensuring data is current across all clients and team members.
  • Make staffing recommendations based on an understanding of team members’ skill sets across, social strategy, paid media, omnichannel strategy & media account management, influencer/celebrity.
  • Ensure client work is resourced with the best teams, combining experience with technical knowledge and expertise.
  • Get to know the teams you support – becoming a trusted advisor to business leaders on all aspects of resource planning for their teams.

Utilization, Billability & Reporting

  • Monitor team member and department bandwidth to maximize utilization and billability across team resources, while preventing burnout.
  • Maintain and reconcile billability and utilization data, including support for monthly low-billability commentary and related reporting exercises.
  • Provide up-to-date information, analysis, and advice on availability, engagement needs, forecast utilization, forecast revenue, headcount, and pipeline to management on a weekly basis.
  • Monitor freelancer engagements to ensure they remain within the terms of our contracted work agreements.

Process & Collaboration

  • Proactively prepare for and help lead recurring resource management meetings so critical staffing decisions can be addressed quickly.
  • Partner with Recruitment/Talent Acquisition to identify when internal resources are not available and prioritize open positions.
  • Partner with HR to escalate any information related to retention and employee relations.
  • Maintain our engagements with our freelance partners – working with finance/TA to ensure extensions and new work orders are processed as needed.

Required Skills & Experience

  • 3+ years of experience in a trafficking or resourcing role in a professional services or agency environment.
  • Experience with capacity planning, and strong financial stewardship acumen.
  • Experience with resourcing and scheduling systems.
  • Proficiency with Microsoft Excel, and comfortability in manipulating data to produce digestible reports for a leadership audience.
  • Demonstrated desire for professional growth – willingness to raise your hand for new assignments, and spearhead new initiatives.
  • Ability to manage multiple priorities from a tactical and strategic lens.
  • Strong interpersonal and communication skills (both written and oral), with the ability to work effectively with a wide range of internal stakeholders.
  • Comfortability in presenting to a senior audience.
  • Ability to provide accurate and efficient service under the pressure of constant deadlines.
  • Skilled in organizing tasks and establishing priorities, with thorough attention to detail.
  • Ability to work with confidential materials and maintain complete discretion at all times.
  • A quick and creative problem solver who works well under pressure.

Preferred Qualifications

  • Demonstrated experience in finding efficiencies in daily work by leveraging AI tools
  • Experience with reporting tools such as Power BI
  • Experience with a resource management system such as Workfront or Smartsheet
  • Experience at an advertising, media or PR agency
  • Understanding of key resourcing concepts – Utilization, bill targets, gross margin goals

Working with Real HART: Since the pandemic, we have adapted to how our people told us they want to work. We have office locations in cities in the US, UK, and Europe with many employees and clients that serve as hubs where and when they need us. For employees who are within an hour of one of our offices, we expect attendance in the office two days per week, either at a Real Chemistry office or onsite with clients. We are also actively opening new office locations, so if one opens near you, our Real HART policy will apply. We are not looking for attendance for the sake of attendance but believe that the opportunity to coordinate in-office team meetings, 1:1 meetings with managers, taking advantage of on-site learning, and connecting with client partners is a critical to delivering on our purpose of making healthcare what it should be. Outside of these offices, we have regions, where people work remotely but come together quarterly for collaboration, culture and learning opportunities. We call this our Real Hybrid and Regional Teams (Real HART) approach. Real Chemistry believes we are best together – and our workplace strategy fosters connection and collaboration in person – but also supports flexibility for our people.

Real Chemistry is an Equal Opportunity employer.
