The Opportunity
 
Job classification: P2043 - Project Coordinator
Salary range: $75,000 - $78,000 Placement within the range is typically based upon a review of skills, experience, and internal equity. 
Hours per week: 37.5
Paid leave: 4 Weeks Vacation / 14 Flex Days per year
Position End Date: November 5, 2027 with possibility of extension

The position will report to/support the Associate Vice President, International  Centre (IC), the International Projects Coordinator is the primary strategic specialist responsible for supporting departmental project coordination within the International Centre as well as with IC’s internal and external partners. The International Projects Coordinator assists the IC Director in the development and implementation of the international strategy through a variety of projects, collaboration with internal and external partners, facilitation of consultation sessions, writing of briefing notes, proposal and grant applications, conducting environmental scans and supporting departmental reporting, and by providing confidential and comprehensive administrative support to Director.
 
The incumbent is expected to have excellent organizational skills, outstanding verbal and written communication skills and exceptional interpersonal skills, and cross-cultural awareness. This position requires the ability to function in a team environment while having a high degree of selfdirection. 
 
The individual must work independently and be a self-starter with a collegial and collaborative attitud 
  • Work with all International Centre (IC) teams and other stakeholders across SAIT to advance various IC projects.
  • Assist the IC Director in the development and implementation of international recruitment, admissions, and retention strategies, including preparation of business plans, budget information, and competitive analysis.
  • Collaborate with the IC leadership team on initiatives and projects across unit portfolios.
  • Research strategies and evaluate the effectiveness of recruitment, admissions, and retention activities.
  • Conduct environmental scans related to international student recruitment, admissions, and retention trends.
  • Develop communications and presentations related to IC projects and initiatives.
  • Create and deploy surveys to internal and external staff and partners.
  • Conduct needs assessments, consultations, and information gathering activities.
  • Prepare briefing notes, proposals, and grant applications.
  • Facilitate consultation sessions to gather feedback on IC projects and initiatives.
  • Maintain regular communication with internal IC partners to ensure project timelines and milestones are achieved.
  • Develop reporting mechanisms and collaborate with IC leadership to report on key projects, initiatives, cyclical business metrics, and KPIs.
  • Build, maintain, and manage the IC project pipeline database to prioritize and sequence key projects and initiatives.

  • Reconcile the Director's international procurement credit card statements and receipts for Finance in accordance with policies and procedures.
  • Manage the Director's email and calendar, prioritize appointments, and proactively resolve scheduling conflicts.
  • Coordinate travel logistics for the International Centre Director and collaborate with regional recruiters on travel itineraries.
  • Complete International SOS forms and coordinate conference and event registrations.
  • Proactively create and maintain effective workflows and communications to support the work of the International Centre and leadership team while managing multiple projects and priorities.
  • Maintain confidentiality, professionalism, tact, and respect at all times.
  • Schedule and organize project-related meetings, including participant coordination, room bookings, catering, and logistics.
  • Organize special events, including invitations, facility bookings, catering arrangements, and maintenance agreements.
  • Complete and submit the Director's expense claims in accordance with established processes and procedures.
  • Review documentation submitted for the Director's signature to ensure compliance with policies and guidelines; follow up on errors or omissions as required.
  • Support the International Centre leadership team by attending meetings, recording and distributing minutes, drafting agendas, coordinating meeting logistics, and tracking action items.
  • Complete Interim Signing Authority forms and coordinate required approvals.
  • Oversee the International Centre's monthly message communications.
  • Perform other related duties as assigned by the Director.
  • Bachelor's Degree.
  • Experience working in a post-secondary institution.
  • More than 3 years of experience in client, partnership, or business development, preferably within a post-secondary environment.
  • Minimum 3 years of experience providing senior-level administrative support while maintaining confidentiality, integrity, professionalism, and discretion.
