We are a rapidly growing commercial real estate investment and development group managing a high-volume pipeline of acquisitions, tenant renewals, and leasing opportunities across the United States. Our team is scaling aggressively and requires a highly proactive support professional who can help facilitate deals, manage tenant communication, and keep leasing pipelines moving efficiently.
This is not a passive administrative role. We are looking for someone who is highly organized, confident communicating with tenants, and motivated by helping close deals and move opportunities forward.
The Leasing & Acquisition Support Specialist will serve as a critical support partner to the acquisitions and leasing team. This individual will work directly inside active deal flow, helping manage inbound tenant opportunities, lease renewals, proposals, and CRM coordination.
The ideal candidate combines strong administrative discipline with the confidence and communication skills needed to engage professionally with tenants and brokers. This role is best suited for someone who thrives in a fast-moving environment, enjoys working through pipelines, and can confidently help move deals forward.
While the role includes structured administrative work, the team ultimately wants someone with strong commercial instincts, urgency, and ownership mentality.
Responsibilities
~1 min read- Manage inbound tenant inquiries and leasing opportunities
- Follow up with tenants regarding renewals, available spaces, and ongoing deal conversations
- Assist in moving deals through the pipeline by maintaining proactive communication
- Coordinate leasing conversations and help facilitate next steps internally
- Prepare leasing proposals using PowerPoint templates
- Generate lease-related documents using standardized Word templates
- Maintain accurate records of contracts, proposals, and tenant communications
- Assist with acquisition and leasing documentation support
- Maintain and update CRM systems accurately and consistently
- Track leasing pipelines, follow-ups, renewal timelines, and tenant activity
- Ensure all lead and tenant data is entered cleanly and updated promptly
- Support reporting and organization across multiple active deals
- Conduct prospect and contact research for tenants and property owners
- Support outreach campaigns and tenant engagement initiatives
- Handle time-sensitive administrative requests from leadership
- Organize files, maintain structured digital records, and support internal coordination
- Professionally communicate with tenants and stakeholders via phone and email
- Help maintain momentum on active deals through consistent follow-up
- Escalate stalled conversations or bottlenecks appropriately
- Operate with urgency, accountability, and strong attention to detail
Requirements
~1 min read- Previous experience in leasing support, acquisitions support, real estate coordination, executive assistance, sales support, account management, or high-volume administrative environments
- Strong spoken and written English with highly professional communication skills
- Comfortable speaking with tenants, clients, and stakeholders over the phone
- Strong organizational skills with the ability to manage multiple moving pieces simultaneously
- Experience using CRM systems and Microsoft Office tools
- High attention to detail and strong follow-through
- Ability to work independently in a fast-paced remote environment
- Comfortable working EST-aligned hours consistently
